Under the general direction of the Vice President, Human Resources, the Part-Time Administrative Assistant/Receptionist will be committed to providing all support required to maximize the effectiveness and productivity of assigned executives and staff.
Responsibilities include but are not limited to:
Greet and welcome visitors with a friendly and professional demenaor
Answer telephones and direct callers to the appropriate individual, taking messages & communicating them as appropriate
Maintain yearly calendar of all department meetings and events associated with Berkshire
Send, receive, and distribute mail and packages for the department
Schedule and manage travel and expense reporting
Coordinate and organize meetings, conferences and events; screen meeting requests
Contact vendors for machine and building maintenance
Maintain office supplies, snacks etc. and keep the reception area neat and organized
Work with corporate IT for technology issues as required
Produce copies and electronic scans as required
Process vendor invoices for department and corporate office in a timely and accurate fashion
Prepare various documents / presentations by time provided
Enter data into Excel for reporting purposes
Complete special projects and assignments as assigned
Consistently demonstrate use of tact and discretion
Successfully engage all administrative competencies expected by Berkshire
JOB QUALIFICATIONS and REQUIREMENTS:
Knowledge/Experience:
At least five years successful experience managing a front desk and facilities in an administrative capacity within a corporate environment
Maintain confidentiality of sensitive and proprietary information and communications of information
Ability to create, edit and scale existing historical documents to meet current needs
Aptitude for organizing, prioritizing, and managing multiple priorities, using critical thinking and problem solving
Demonstrated multi-modal communication style that reaches every stakeholder, specifically excellent verbal, and written communications
Ability to communicate with and manage up to senior management
Collaborative working style with inclusive work and thinking behaviors, commitment to excellence in teams and work product, with a strong work ethic
Proficiency and willingness to adopt new systems and processes
Demonstrate emotional intelligence in high pressure and sensitive situations
Demonstrated ability to make independent decisions and apply critical thinking on business matters when appropriate
Tenacity, patience, and perseverance to work with business deals from beginning to end of process

Technical/Educational Requirements:
Demonstrated ability to use and learn new technology (e.g., computers/hardware, mobile, software, cloud-based programs)
Proficiency with computers, keyboards, monitors and telephone headsets
Proficiency in Microsoft Suite of Products (e.g., Word, Outlook, Excel, Teams, Power Point)
Demonstrated proficiency with conference room technology
Position will work 20 hours per week
