Position Summary

This position will be an integral member of the Biocom CA team. This position requires an individual who shows initiative, exercises independent judgment, strong organizational and analytical skills, multi-tasks, with exceptional communication and interpersonal skills. The individual must have project management and administrative support skills with knowledge of administrative procedures and processes and a demonstrated background supporting management and staff and interfacing with various levels of audiences including Board members and the public. This individual will be involved in many key projects under the purview of the Chief Business Officer and must be able to manage sensitive business information in a professional and trustworthy manner.

Key Duties & Responsibilities
  • Provides administrative support and project coordination for Senior Vice President and Chief Business Officer;
  • May provide administrative support and project coordination to some departments underneath the CBO such as Marketing and Capital Development;
  • Plan and coordinate related on-site and off-site meetings and events involving multiple external visitor participants and/or internal colleagues from other company locations (book meeting facilities and A/V services, order/prepare meeting supplies, coordinate catering services and menus and arrange for other special needs as required by the meeting sponsors);
  • Provide support with pre, during, and post event logistics;
  • Coordinate with external stakeholders on a variety of projects and act as proxy for Chief Business Officer on occasion;
  • Prepare, edits, proofreads, and processes a variety of routine to complex documents and correspondence including forms, memos, financial and team reports; completes critical, time-sensitive, and/or confidential documentation for internal and external stakeholders.
  • Work closely with the Marketing department to support CBO and Capital Development marketing initiatives. May perform basic marketing functions for CBO and Capital Development teams.
  • Support social media needs which may include creating social media posts, participate in brainstorming campaigns, develop content for marketing materials, blog posts, articles, guides, social media posts, and email newsletters for CBO and the team.
  • Working with the Corporate Events team, facilitate the implementation of the programming of events, related panels and workshops for the Capital Development team. This can include coordinating with speakers and presenters, compiling event related materials such as presentations, pitch decks, bios.
  • Manage the Capital Development Committee, including meeting prep (minutes, committee communication etc.) and follow up for the main committee and all sub committees.
  • Other duties as assigned.

Minimum Qualifications
  • Bachlelor's Degree required
  • Knowledge of life sciences preferred
  • Minimum 2 years' experience in project management, marketing, administrative support or similar discipline.
  • Able to quickly and proactively step in and handle challenging situations. Works with a strong sense of personal accountability and urgency;
  • Ability to make decisions, prioritize workload, and multi-task while maintaining high attention to detail. Drives responsibilities through to their completion. Removes obstacles and eliminates waste.
  • High level of discretion and confidentiality;
  • Must have excellent follow-up and follow-through skills;
  • Excellent interpersonal skills across a range of contacts including high-level executives, board members, members, vendors, staff, and volunteers. Includes effectively employing tact, integrity, confidentiality, diplomacy and flexibility;
  • Demonstrated PC-computer skills and well versed with a variety of software packages for word processing (MS Office), spreadsheets and database management.
  • Knowledge of salesforce.com as well as Project management software a plus;
  • Exceptional communication and interpersonal skills.

The anticipated hourly range for candidates who will work in the San Diego area is $28.85 - $33.65. The final salary offered to a successful candidate will be dependent on several factors that may include but are not limited to the type and length of experience within the job, type and length of experience within the industry, education etc. Biocom California is a multi-state and multi-regional employer and this salary range may not reflect positions that work in other states and regions..
