Position Summary
The administrative assistant is a position that assists with the day-to day operations in the field and in the office. The position will require the employee to perform multiple administrative and office support functions. THIS IS A TEMPORARY CONTRACT POSITION THAT IS EXPECTED TO LAST APPROXIMATELY THREE YEARS.
Duties and Responsibilities
Maintains payroll information by calculating and ensuring accuracy of all information entered on timesheets.
Enters new hire orientation pay and training pay.
Maintains vacation and sicks days for field employees.
Maintains trucking payroll by entering trucking rates, corrections, and missing trucking. Must also maintain trucking quotes and schedules.
Compilation of the weekly meeting file.
Generates Daily P&L reports and Weekly Cost Reports for the Construction Group.
Maintains uniform rental program for the Construction Group.
Completes paperwork, such as badge request forms, for employees to get into the plants.
Track and maintain employee of the month.
Data Entry.
Orders personal protective equipment.
Forward scanned copies of training certificates to HR.
Sorts and distributes mail and paperwork from the field.
Answers phones and forwards calls.
Tracks and maintains CDL licenses, medical cards, sets up clinic visits, and ensures that employees sign CDL documentation.
Maintains supervisor training matrix.
Schedules training for employees at the safety council and in ISNetworld.
Other duties as assigned.
Minimum Qualifications
High school diploma or equivalent
Written and oral communication skills
Organizational and time management skills
Problem analysis and problem-solving skills
Knowledge and proficiency with a variety of computer word processing, spreadsheet, and database software applications
Preferred Qualifications
Associate's degree
One (1) year of administrative experience in an office setting
