Position Summary:

Reporting to the Teachers College Dean. The Administrative Analyst is responsible for the day-to-day management and activities of the Teachers College Dean's office. The Administrative Analyst provides clerical and communication coordination services for the Teachers College in various job functions as delegated.

Duties & Responsibilities:

Serves as Licensure Assistant:
  • Creates and maintains a database for received applications.
  • Emails and calls candidates to ensure completion of licensure requirements.
  • Works closely with the Licensure Officer to ensure candidates' licensure process is completed in a timely and effective manner.
  • Meets weekly with the licensure officer to discuss applicants and the licensure process.
  • Attends state licensure meetings and maintains notes of licensure changes.
  • Other responsibilities as assigned.


Management Support for Teachers College:
  • Coordinates new Teachers College faculty office systems (telephone, computer, computer access, keys) and orients faculty to the physical plant.
  • Orients new faculty to computer entry for travel requests and reimbursements, HSU forms and policies, bookstore/textbook ordering, and other processes as needed.
  • Completes travel and reimbursement forms for faculty as needed.
  • Assists with the coordination of departmental ceremonies and bereavement acknowledgement.
  • Coordinates departmental office activities and arranges meetings, prepares agendas, reserves, and prepares facilities, and records and transcribes minutes of meetings.
  • Completes new hire paperwork and trains other administrative assistants.
  • Maintains a database of overloads and adjunct pay each semester for the Teachers College

Maintains the departmental budget in coordination with Dean:
  • Monitors revenues in departmental accounts.
  • Monitors foundation accounts.

Response to public and faculty information requests:
  • Assist with setting up Education building tours for perspective students.
  • Appointments with the Dean
  • General program information requests via the internet, telephone, and walk-ins
  • Coordinates public school and department of education requests.
  • Responds to public requests and/or routes requests to appropriate faculty members.
  • Assist with maintaining social media pages.

Responsible for Education Building physical maintenance:
  • Key contact/communication initiator with HSU Physical Plant for building problems, maintenance, and repair.
  • Key contact for departmental copier, copier supplies, and contact with the copier repair technician.
  • Maintains departmental physical inventory (equipment, furniture, and simulation laboratory supplies) and composes/completes any associated reports.

Oversees building and room requests:
  • Faculty building access
  • Student computer lab access

Ensures Website accuracy:
  • Key contact/communication initiator with Web site reviewer


Knowledge/Skills/Abilities:

This position will act as an office receptionist by greeting and directing visitors, screening calls, providing general information and assistance, and performing other duties as assigned or deemed necessary. The preferred candidate will possess a pleasing, welcoming personality, a spirit of cooperation and self-motivation, and knowledge of grammar, punctuation, spelling, basic math skills, general office procedures, and the operation of standard office equipment and computers. This position has regular contact with department staff, students, alumni, and the public.

The applicant must maintain confidentiality. The applicant should be accurate, a problem solver, an effective communicator, take the initiative, be adaptable, possess good judgment, be professional, be cost-conscious, cooperative, and dependable.

Mastery of the English language and composition. Knowledge of principles of mathematics and statistics. Able to research and analyze technical information and data. Demonstrates ability to learn. Familiarity with current software (Word, Publisher, Excel) and university computer systems. Understands how the job relates to others. Uses resources efficiently.

Monday - Friday
8:00 a.m. - 5:00 p.m.
Additional hours as requested and/or needed

Minimum Qualifications:

Candidates must possess the formal equivalent of a high school diploma, plus one year of clerical experience.

Other job-related education and/or experience may be substituted for all or part of these basic requirements.
