The Strategic Assistant reports to the Chief Executive Officer of an entrepreneurial company specializing in mergers, acquisitions, and the perpetuation of insurance agencies, consulting to and management of the same, as well as the management of a private commercial real estate investment portfolio. As the Strategic Assistant, you will be expected to assist the CEO in leading INEX and its related ventures, provide administrative support to the CEO and Executive Vice President with professional and personal matters, and demonstrate excellence in problem solving, project management, and decision making.
The Strategic Assistant will work closely and in a collegial fashion with both the INEX corporate team and the extended group of INEX entities and their affiliates. They shall handle their duties in a professional manner, always explicitly upholding the confidentiality of the information to which they are exposed on both an internal and external basis. While the position involves a strong administrative component and requires a "hands on" approach, it also requires significant executive level decision making skills.
Strategic Assistant Qualifications and Skills
High school diploma required; Bachelor's/Business degree preferred
7+years' experience in positions of comparable responsibility working with C-Suite executives
Demonstrated proficiency in MS Office Suite, MS Teams, Adobe Acrobat Pro, Asana, and ACT!
Familiarity with Strategic Coach concepts is a plus
Can work independently a significant portion of the time, deploy exceptional problem-solving skills, and make decisions as appropriate in all areas of responsibility
Ability to communicate and collaborate internally and externally in a professional manner
Exacting accuracy and timeliness
Ability to prioritize and multitask while adhering to hard deadlines
Capable of speaking on behalf of the CEO precisely as intended

Strategic Assistant Job Responsibilities
Screen office calls, emails, and visitors as appropriate
Schedule appointments, monthly meetings, update CEO calendar, faxing, and filing
Book CEO domestic and international travel including accommodation and transportation; manage private aircraft registrations, pilot list and scheduling, according to preferences
Monitor all real estate and insurance licenses enterprise wide and nationally for business entities, CEO and Executive Vice President, renewing as appropriate
Ensure all insurance policies are scanned, renewed, received, and reviewed by appropriate staff upon receipt
Ensure all company and personal vehicles (boat, airplane, cars, maintenance vehicles, etc.) are registered, insured, and licensed appropriately
Maintain annual updates on CEO conflict listings
Provide human resources support including maintaining personnel files and employee handbooks, initial screening of applicant resumes, and support new hire documentation, onboarding, and orientation
Provide personal assistance to family and executive team including event planning (venue, catering, logistics) and personal errand support on an as-needed basis
Maintain office supply inventory; restock kitchen and coffee area
Monitor service and equipment contracts including maintenance, negotiation, and renewal
Perform market analysis for equipment replacement and present recommendations to CEO as needed
Communicate building maintenance requests to and from cleaning company
Monitor and renew all domain names in conjunction with IT Director
Scan all leases, corporate documents, and other projects (mortgages, closing documents, etc.) as received and file appropriately
Monitor database for duplicates, set up groups, add new contacts, and create templates
File annual reports in all appropriate states and prepare annual minutes
Shutdown and withdrawal of business entities from Department of Revenue and Secretary of State offices as needed, renew trade names as appropriate, maintain entity matrix
Assign parking spaces and security codes to employees and tenants; monitor NEST security feed for building
Request certificates of insurance from tenants and vendors and monitor receipt of same
Create and maintain tenant real estate e-files and engage in document management
