SUMMARY:


CCE Operations Coordinator provides key operational and administrative support for the Bonner Center for Civic Engagement including fiscal operations, facilities, and programmatic management, including coordinating course support for Community-Based Learning classes. Monitors, coordinates, and processes financial transactions (payments and p-card reconciliation) for the Center. Coordinates student employment, logistics and facilities management on behalf of the Center.


RESPONSIBILITIES:



Operational support

  • Coordinates off-campus transportation support for community engagement activities in collaboration with CCE stakeholders (students, faculty, community partners) and Parking and Transportation to include transportation for community-based learning (CBL) classes and required service for Bonner scholars and community-work study students.
  • Assesses and prioritizes matters requiring the attention of CCE Operations including transportation, course support, facilities management, and payment request and reconciliations. Addresses incoming issues and determining appropriate course of action, referral, or response.
  • Coordinates logistics for CBL classes, including managing honoraria, transportation, tickets, and course materials, Civic Fellow Symposium, and the faculty Collaboratory.
  • Provides direct supervision to student employees assisting with CCE operations and community-based learning program logistics.
  • Manages the facility operations for all Center for Civic Engagement's on-campus spaces including overseeing space reservation systems, office assignments, and facility upkeep.
  • Serves as a member of the CCE Operations Team.

Financial Management

  • Monitors, coordinates, and processes payments for the Center including P-Card reconciliation, travel and expense reimbursements, student, faculty, and community partner honoraria, check requests, and one-time payments.
  • Executes and administers vendor contracts for services within budget and according to university policy.
  • Develops and maintains Student Employment budget for the Center.

Student Employment

  • Oversees the department's student employment program, as well as the University's Community Work-Study program. Responsibilities include the coordination of job placement for students in community placements per federal and university regulations: ensuring timely completion of student employment paperwork; interpreting student employment policies and procedures to students; developing promotional and marketing plans; managing payroll processes for participants.
  • Coordinates human resource functions for departmental student employees, including developing and executing the Center's strategy for student employment, recruitment, and training, and compliance with University student employment policies.
  • Devises onboarding strategy for non-Bonner student employees; consults with Bonner Scholar Program staff on matters regarding student onboarding
  • Provide leadership and support to the Center's student employee managers
  • Serves as departmental liaison to Student Employment office.

Additional Duties

  • Analyzes trends regarding CCE operations (e.g. transportation, spending, student learning) for analysis and continuous improvement; creates reports as needed.
  • In consultation with the Director of Operations, supports relevant operations needs in the ASPICE portfolio as needed.

QUALIFICATIONS:

  • Excellent customer service skills and professional demeanor.

  • Interest in learning, problem-solving, making recommendations and advancing facility operations.
  • Ability to make administrative/procedural decisions and judgments
  • Knowledge of computerized information systems used in financial and/or accounting applications.
  • Strong attention to detail.
  • Experience in analyzing and improving business processes.
  • Aptitude for learning new technology/systems.
  • Strong written and verbal communication skills.
  • Ability to anticipate needs and work independently.
  • Ability to communicate effectively, both orally and in writing
  • Able to appropriately use proprietary software, including Microsoft Word, Excel, Outlook, PowerPoint.
  • Knowledge of office management and project management procedures.
  • Excellent organizational and administrative skills and ability to multi-task.

EDUCATION & EXPERIENCE:

  • High school diploma or GED required; at least 5 years of experience that is directly related to the duties
  • and responsibilities specified. Related higher academic degrees received from accredited institutions
  • may be substituted for experience on a year-for-year basis, to a maximum of 2 years.
  • Previous experience with demonstrated project management preferred.

WORK HOURS:

  • Full-time, non-exempt position
  • Monday - Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week

SALARY STRUCTURE:

Pay Grade 4 (Hiring Range $17.70 to $22.12 per hour)
