Performs a wide variety of duties for the Osher Institute in the areas of course programming, member services, course leader assistance, support with course materials, data entry and management, and other duties as assigned.
RESPONSIBILITIES:
Programming
Solicit and schedule speakers/teachers for Osher classes
Assist with planning, scheduling, and coordinating logistics for all remote and on-campus classes and meetings
Plan special in-person events, including coordination of location, catering, registration, and tasks needed on the day of the event
Provide all instructors with class details and Osher protocol for remote and in-person sessions
Initiate all work with the Center on Institutional Effectiveness regarding course/instructor evaluations
Oversee and troubleshoot feedback survey distribution and usage issues
Review, edit as needed and generate all Qualtrics feedback reports for each course
Export and analyze data reports by semester from Enrole and Qualtrics (enrollment detail by session with waitlist data, no show and attendance, evaluations)
Present all data reports to Curriculum Work Team; offer recommendations regarding courses and instructors
Serve ex officio on Osher Curriculum Work Team
Administrative
Assist with data entry of Osher courses in SPCS non-credit registration system Entrinsik
Assist with processing manual registrations and withdrawals, and managing wait lists in Entrinsik
Assist with course confirmations to registered students
Help train members to use online registration software (Entrinsik)
Assist in preparing and submitting membership/course registration deposits to SPCS Finance Department
Assist with tuition remission for course registrations, when appropriate
Assist with course refunds, when appropriate
Prepare and disseminate course materials, as needed
Coordinate all negotiations with Events staff regarding classrooms
Handle all planning, scheduling, and coordinating logistics for all classes and meetings, whether remote or on campus
Assemble necessary documents, provide thank you note/gift, and provide class assistance to instructors
Provide audiovisual assistance and/or zoom training to Osher instructors, as needed
Communications and Marketing
Cultivate and promote ongoing relationships with members, course leaders, Leadership Council and work team members, volunteers, professional organizations, University faculty/staff, and other staff members within SPCS
Train instructors to use A/V or Zoom and respond to all instructor inquiries
Provide instructors with student feedback report, thank you, and solicit their input for ways to improve their teaching experience after course ends
Assist in representing the Osher Institute and the University on and off campus
Providing Osher Institute information to prospective members by responding to inquiries about the Osher Institute from potential/former members
Provide services to current and prospective Osher members, including orientation to member benefits, services, and volunteer opportunities
QUALIFICATIONS:
Detailed oriented and excellent organizational skills
Ability to work independently
Strong oral and written communication skills
Exceptional customer service skills
Ability to prioritize work and meet deadlines
Knowledge of Microsoft Office products, including Outlook, Word, and Excel
Knowledge of and ability to use/troubleshoot audiovisual equipment (computers, DVD/VHS players, LCD projectors, projection screens) is helpful
Use of standard office equipment such as a copier, scanner, etc.
Familiarity with database programs (Entrinsik/Enrole and Qualtrics) helpful
EDUCATION & EXPERIENCE:
Bachelor's degree required
Three years' work experience desired, preferably in a related field working with similar populations
WORK HOURS:
Full-time, non-exempt position
Business hours are Monday - Friday, 8:30 a.m. - 5:00 p.m.; flexible schedule, 30 hours per week
SALARY STRUCTURE:
Pay Grade 4 (Hiring Range $17.70 to $22.12 per hour)
