Description: Position Description

The Program Manager for Affiliate Programs (PMAP) will manage the Joint Accreditation (JA) process for HMS affiliate programs. The PMAP will lead several team members dedicated to delivering accredited programs from our network of 15 affiliate hospitals/organizations. The Program Manager will oversee the development and sustainable management of relationships with course directors and planners.

Primary responsibilities include overseeing the entire accreditation lifecycle for course directors and participants, from initial proposal submission to course completion and renewal, as well as meticulous credit reporting.

The PMAP will direct a team of education coordinators, along with casual staff (LHT) and seasonal temporary staff. The PMAP will work collaboratively with team members in setting and communicating work standards, managing workflow, and providing ongoing professional development and coaching.

Staff Management and Leadership
  • Manage the program education team responsible for developing, renewing, and delivering more than 125+ accredited affiliate course programs offered annually by HMS PGME
  • Cultivate and maintain strong relationships with course directors, hospital support staff, and other key stakeholders
  • Develop and execute training programs for new hires and existing staff to align with updated accreditation or institutional criteria standards
  • Foster a collaborative and supportive team environment such that any issues and/or troubleshooting are escalated
  • Develop and manage program standards to ensure consistency with all accredited programs


Operational Oversight/Administrative Management
  • Provide exceptional customer service to affiliate course staff and internal stakeholders, ensuring compliance with accreditation and HMS policies and procedures
  • Meet with new course directors and planners of HMS affiliate courses to advise them on course processes related to accreditation criteria and HMS policies and procedures
  • Develop and manage processes related to the accreditation lifecycle of an HMS affiliate course, ensuring clear and effective communication on those processes with relevant team members and stakeholders
  • Perform ongoing analysis on the HMS Affiliate Course process with input from the team and recommend process or technology changes
  • Gather and report HMS Affiliate course information to help meet participant statistics OEE and PGME strategic goals
  • Partner with other CE teams to ensure the end-of-course evaluation/certificate processes


Accreditation/Compliance Responsibilities
  • Serve as the departmental liaison to program stakeholders, communicating University, GCE, AMA, and ACCME/JA policies and criteria
  • Stay informed of current ACCME/JA, AMA, and Medical Board policies and criteria, maintaining accurate activity files for accreditation documentation
  • Assist in maintaining precise and comprehensive activity files for accreditation documentation, clinician credentialing, and financial reports mandated by HMS and industry supporters. This entails, among other responsibilities, gathering and scrutinizing faculty Disclosure and Resolution of Conflict-of- Interest forms and syllabus documentation to guarantee adherence to ACCME and HMS standards
  • Collaborate with accreditation staff to identify compliance vulnerabilities and implement corrective measures, advising course directors on compliance issues
  • Undertake additional tasks as directed by the Director and Leadership. The Office for External Education provides health care professionals, corporations, and lay audiences with broad access to Harvard Medical School's peerless and constantly expanding body of medical knowledge. Our educational offerings are created in collaboration with members of the school's almost 12,000-member faculty and reflect firsthand, expert clinical insights based on breakthrough research and best practices


Basic Qualifications

  • Bachelor's degree or equivalent work experience required
  • Minimum of 5 years' relevant work experience


Additional Qualifications and Skills

  • BA/BS strongly preferred
  • Minimum of 3 years of experience in program/project management, hospital, or university accreditation settings, with at least two years of experience managing people
  • Strong customer-service orientation and demonstrated experience
  • Proven experience with CRM systems, including navigating data management, customer interaction tracking, and generating reports that help understand program and accreditation needs
  • Excellent written communication skills
  • Proficiency in various software applications, including Microsoft Excel and other Office suite applications, is essential

Must be able to work overtime hours in the mornings, evening and on weekends as required for program delivery.
