Training Coordinator

Planet Interactive is in search of a Training Coordinator who, under general supervision, coordinates the logistical support for training programs requiring assistance of a moderately complex to complex nature (e.g., measurable amount of training materials, medium to large size audiences, etc.) Support includes site setup, scheduling of programs, notification of attendees, maintenance and delivery of program materials, acting as facility liaison and handling inquiries.

Pay Rate: Up to $28/hr depending on experience

Location: 100% Remote (EST timezone highly preferred)

Duration: 6 Months

Training Coordinator Responsibilities:
  • Coordinates all logistical support for training programs requiring assistance of a moderately complex to complex nature.
  • Support may include site setup, scheduling of programs, notification of attendees, bill payment, chargebacks, facility liaison/support, and maintenance, production and delivery of extensive program materials.
  • Ensures all pre- and post-program activities are handled in a timely manner.
  • Utilizes extensive functionality within the Employee Learning Center (ELC) to include course setup, pushing training to large audiences, managing custom e-mails, registrations, monitoring of class sizes, tracking of participant information, accessing large amounts of data, etc.
  • Monitors and tracks employee training activities.
  • Runs reports from the system, typically considered complex in nature, on a regular basis.
  • Makes recommendations to training program owners on how to best leverage the ELC.
  • Prepares and updates extensive training materials, typically considered moderately complex to complex in nature, under direction of trainer, training manager and/or instructional designer. Closely reviews training materials to ensure quality of preparation.
  • May update training related content on intranet pages, and handle other project related work, as assigned. Uploads training materials into the ELC and navigates training programs for virtual classroom environments.
  • Troubleshoots issues participants encounter with accessing and participating in the virtual classroom as well as problems with using self-paced e-Learning modules.
  • Reserves conference space, coordinates physical setup of room, and coordinates catering services. Handles all travel arrangements, to include airline reservations, hotel reservations, car rental needs, confirmations to participants, etc.
  • Monitors and maintains inventory of training materials and supplies to meet training program needs.
  • Prepares and/or re-orders additional materials and supplies , as needed.
  • Administer training program evaluations. Compiles and distributes results to appropriate training staff.
  • Answers participant questions regarding training programs (e.g., travel arrangements, enrollment, training materials, usage of ELC, etc.).
  • Assists in identifying outside resources, as needed.
  • May negotiate pricing terms regarding training materials.
  • Works with vendors to handle all logistics-related needs.
  • Handles all billing related to outside services.

Training Coordinator Skills and Experience
  • Requires Bachelor's degree or equivalent experience or Associate's degree with 3-5 years of related experience.
  • Demonstrates strong interpersonal skills, with the ability to interact with all levels of the organization, in addition to solid written and oral communication skills.
  • Proficient with MS-Office Suite products, particularly PowerPoint and MS-Word.
  • Demonstrates excellent organizational skills and attention to detail.
  • Displays high ability to exercise judgment to shift priorities, organize multiple tasks simultaneously, and work with minimal direction.
  • Jira
  • PowerBI (not including development of reporting, more like basic usage and pulling reports)
  • Survey Analytics (building surveys and sending, also aggregating responses and data)
  • Cornerstone (the Learning Management Software (LMS) that we use - rebranded here as the MCDC) NOTE: if a person has experience in an LMS, but not specifically Cornerstone, I would still keep them in the pool for consideration as many of those tools have the same type of functionality.
  • Prior experience with learning management systems strongly preferred.
