Department Information



The Office of Development and Engagement (ODE) at the Kelley School of Business is responsible for all the fundraising activities that support the mission of the Kelley School, including capital construction, scholarships, fellowships, etc. ODE also supports alumni engagement activities for Kelley's alumni network of over 130,000 living alumni. ODE also manages the activities of key councils and volunteer boards that are made of highly engaged and invested alumni, donors, and friends of the Kelley School.



Job Summary



The Development Operations Coordinator works with the major gifts team in ODE to support the operational and administrative efforts of the department. This position will report to the Senior Director of Development, Principal Gifts. This position requires a great amount of care in maintaining relationships through leveraging accurate information and prioritizing tasks and responsibilities.


Department-Specific Responsibilities


  • Supports the major gift officers in an administrative capacity.

  • Completes mail room runs; ships packages; reserves conference rooms and meeting spaces; processes data entry and conducts research; processes expense reimbursements, processes gift revenue; invoices for sponsorships or donor support; etc.

  • Conducts donor research and provides detailed reports for internal staff and appropriate constituents within the Kelley School for donor and alumni visits, meetings, events, etc.

  • Provides crucial support to the department, which cultivates and stewards the largest financial supporters of the Kelley School.

  • Assists other members of the ODE team as needed.

General Responsibilities


  • Performs administrative tasks in support of the university's development and advancement efforts and may interact with officers across all development and advancement job families, as well as donors, the general public, and representatives across the university and university community.

  • Performs tasks may include answering phone calls and emails, maintaining and updating donor databases, scheduling events and travel for donor interaction and solicitation, preparing and sending digital and direct mail solicitations, preparing documentation of pledged and received gifts, and coordinating stewardship and donor recognition activities.

  • Compiles metrics, facts, and general operations information about IU and its schools and departments for distribution to donors.

  • Prepares and updates basic and complex reports and presentations for use by other development staff, engaging supervisor for help as needed.

  • Provides an excellent donor experience through customer service, active listening, inclusive language, and thoughtful and persuasive discussion, consistently upholding the integrity and mission of Indiana University.

  • May provide guidance to lower-level Development Coordinators.

EDUCATION



Required



  • High school diploma or equivalent (such as HSED or GED)

WORK EXPERIENCE



Required



  • 4 years of experience in fundraising/development, administrative, a higher education foundation, or related field

Working Conditions / Demands



This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.



Work Location



This position is eligible to work a hybrid schedule (mix between remote and in-person work), subject to change in the future based on university policy and business needs.
