Job Description Summary

Plans, coordinates and oversees Credit Union events and seminars hosted at Redstone Facilities. Leads coordination of the event portion of RFCU celebrations and events hosted off site. Serves as liaison between external organizations with invoicing/billing, Blue Roof Café, Security and other RFCU business unites as applicable. Utilizes all available resources to plan events and provide the best solutions to our members and the community. Promotes the Credit Union to maintain a positive relationship with the surrounding communities.

Essential Duties and Responsibilities


  • Coordinates and oversees logistical and operational requirements of events/meetings held at RFCU Atrium by other organizations including but not limited to; providing guidance of capabilities of RFCU facility and on-site catering, identifying appropriate meeting room space, facilitating AV needs, facilitating rental from vendors as required (flowers, linens, etc.), security, billing and facility support. For all other RFCU locations, in addition to these requirements coordinates on site facility usage by approved caterer.

  • Plans, coordinates and oversees Credit Union hosted community and member events and seminars, hosted on site at a RFCU location, including but not limited to; providing guidance of capabilities of RFCU facility and catering, identifying appropriate Credit Union meeting room space, facilitating AV needs, facility rentals from vendors as required (flowers, linens, etc.), security, and facility support.

  • Plans, coordinates, oversees event portion of Credit Union hosted community and member events and seminars hosted off site at an alternate venue, including but not limited to coordination with venue event coordinator, catering, providing guidance of capabilities of venue to other RFCU Team members, communicating and ensuring availability of necessary AV needs, facility rentals from additional vendors as required (flowers, linens, etc.).

  • Ensures that organizations using RFCU facilities are properly invoiced for rental and/or catering. For meeting/events supported with catering from the Blue Roof, coordinates both internal and external orders for catering, working with client as well as Blue Roof staff to fulfill requests with consideration to available resources, validates invoicing prepared by Blue Roof with catering request to ensure accuracy of number as well as identification of third-party billing, also responsible for contacting organizations when accounts fall past due.

  • Serves as administrator of the meeting room software and ensures that shared outlook calendar and meeting room calendar mirror information for room availability. Serves as Community Relations Password Administrator for Password Manager.

  • Creates and maintains relationships with external vendors to contribute to the success of Credit Union events (i.e. photographer, florist, musicians, promotional product companies, rental companies, etc.)

  • Promotes the Credit Union by participating in community involvement and special events.

EDUCATION/EXPERIENCE

To perform this job satisfactorily, an employee must be able to carry out each essential duty competently. The requirements listed below are representative of the education, experience, skills and abilities required. An equivalent combination of education and experience may be considered.

Education Requirements

High School Diploma or GED - Required

4 Year / Bachelors Degree - In Business Administration, Marketing, Communications or a related field - Preferred

Experience Requirement

4 Years - Corporate catering and/or event planning - Required

Knowledge of the use and troubleshooting of audio visual software/hardware - Required

SKILLS/ABILITIES


  • Effectively apply internal and external customer service practices and processes to meet quality service standards and achieve member satisfaction.

  • Learn and apply information, on a wide range of Credit Union products, services and regulatory compliance requirements, in order to assess member situations and develop solutions.

  • Resolve problems utilizing advanced knowledge and experience.

  • Operate computers and use business software and other standard office equipment.

  • Learn and apply information on associated processes in compliance with regulatory requirements, in order to conduct business transactions and assess member/customer situations and to develop solutions.

  • Has the knowledge of or propensity to learn, support and troubleshoot audio visual software/hardware necessary to successfully support meeting and/or event requirements.

  • Provides assistance and/or recommendations to Operations Support for purchase of items for community spaces and/or catering.

  • Effectively de-escalate situations and further resolve problems utilizing advanced knowledge and experience.

  • Communicate in a professional manner and deliver information clearly and effectively. Actively listen to questions, opinions and ideas of others. Use tact and diplomacy in sensitive and confidential situations.

  • Use correct English including spelling, grammar and punctuation.

  • Operate computers and use business software and other standard office equipment.

  • Understand and follow written and oral instructions.

  • Set priorities and manage one’s own time effectively.
