Southwestern Behavioral Healthcare is currently seeking a Full-Time Supervisor of Administrative Services to add to our team of professionals. This position will provide administrative clerical and project support to the President/CEO as well as oversee standards compliance among administrative assistants.

WHAT IS THIS POSITION RESPONSIBLE FOR?


  • Identifies and monitors minimum coverage for all administrative assistants within Southwestern Behavioral Healthcare, and reassigns duties as needed.

  • Conducts meetings with administrative assistants for the purpose of standardizing workflows, providing training and retraining, communicating information, and answering questions.

  • Conducts initial employment interviews with location manager and participates in selection of new hires for vacancies. Provides new hire orientation and standard software training, including electronic medical record training.

  • Coordinates with location managers in ongoing administrative assistance performance evaluation, identification of training needs, and identification of coverage needs.

  • Supervises administrative staff performance, provides coaching, in collaboration with location manager.

  • Participate as an active member of the Electronic Medical Record Core Group and Superuser meetings.

  • Attend and participate as an active member of all leadership team meetings.

  • Provide minutes for essential meetings, such as Leadership Meetings, QAI Meetings, and Provider meetings

  • Assist with room reservations, or other administrative tasks on behalf of Directors.

  • Coordinates administrative services projects as directed.

  • Provide as back up to administrative assistants functions, as necessary.

WORKING ENVIRONMENT

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

MINIMUM QUALIFICATIONS


  • High school diploma or GED required. 

  • Previous experience in a healthcare office setting highly preferred.

  • Must be proficient in using a personal computer, multi-line phone system, and Microsoft Office Suite.

  • Must display strong verbal and written communication skills, engaging interpersonal skills, good organizational and time management skills, and a positive, energetic attitude.

  • Minimum of five years office experience preferred.

  • Previous supervisory experience preferred.

  • Valid driver’s license and auto insurance that meets the State of Indiana minimum coverage requirements. 

  • Must obtain and maintain crisis intervention and verbal de escalation training.
