POSITION OVERVIEW


The Administrative Assistant reports to the Executive Assistant who supports EVP & Chief Financial Officer, EVP & Chief Operating Officer and four Senior Vice Presidents.


 


RESPONSIBILITIES AND ESSENTIAL DUTIES



  • A high level of discretion in dealing with confidential information and sensitive materials is a must. 

  • Maintains a flexible and adaptive schedule with the ability to meet deadlines (e.g. start early or stay late if required to complete work).

  • Provides general administrative support, including but not limited to, heavy calendaring of complex schedules, utilization of Microsoft Teams, , monitoring and scheduling of meetings and conferences, and expense reporting.

  • Answers, screens, and transfers calls to appropriate parties or takes messages in a professional and pleasant manner.

  • Arranges domestic and international travel itineraries and agendas.

  • Communicates effectively, professionally, and with integrity across key business clients within the organization at all levels Coordinates catering, room preparation and meeting set-ups 

  • Edit, print, scan and bind documents as needed with a high attention to detail.

  • Opens, sorts, and distributes incoming correspondence.

  • Must act with good judgment and as a team player to build relationships between assistants, administrators and support staff across all departments and levels of the organization.

KNOWLEDGE AND SKILLS


Knowledge: Strong knowledge in MS Office applications with a strong attention to detail is necessary. Independent thinker and problem solver with the ability to excel in a high paced environment. Highly responsive and nimble. Excellent communication skills, both verbal and written, a must.

  • Effective at managing workload while controlling costs and improving quality. 

  • Manages time efficiently and deals well with conflicting demands and priorities in a high paced environment.

  • Strong listening, communication and interpersonal skills; pays attention to detail.  Seeks clarity in conversations in order to completely understand the information.

  • Demonstrates respect for clients and team members; makes clear decisions in the face of conflicting priorities; is able to use personal knowledge and judgment to fill gaps where there is insufficient data.

  • Takes the initiative to make changes in working methods to do things more efficiently; able to think critically, solve problems independently and exercise excellent judgment and common sense.

  • Highly organized, detail-oriented, and able to manage multiple activities timely and with a high degree of accuracy. 

  • Highly proficient with Microsoft Office Suite (Word, Excel, Access, and PowerPoint).

 


EDUCATION AND EXPERIENCE


Education, Training and Certifications:  A High School Diploma or equivalent is required. Associate’s or Bachelor’s degree, or relevant certification(s), is preferred. 


Experience: Minimum of five (5) years of experience in an administrative support function.  Previous experience in supporting a VP or above is preferable, but not required. Energy industry experience is also a plus.

Ability to multi-task and function in a highly dynamic atmosphere; must exercise some discretion independently. 


 


WORK CONDITIONS



  • Job is performed in a typical office environment, but is subject to time pressures and constraints, and is often dependent on input from others. 

  • Business requirements may frequently necessitate that work be performed from home, after normal work hours or on weekends.

  • Business requirements may include periodic travel, including to operating facilities or facilities under construction.

  • Subject to drug and alcohol testing, per applicable federal regulations or as required by Cheniere.
