Job Description Summary

This position performs a wide variety of planning, content management, evaluative, organizational, and managerial functions for NCJTC and its various programs, projects, and activities. The service population includes departments within the College, local, state, and federal agencies, tribal governments, minority groups, universities, and service organizations. This position requires a strong ability to apply technical skills, techniques, and processes to develop, design, evaluate, and manage tasks and activities related to conducting training, technical assistance initiatives, meetings, conferences, and projects.



Job Description




ESSENTIAL JOB FUNCTIONS



  • Manage logistical or other required tasks for assigned meetings, training programs, technical assistance services and projects in accordance with guidelines, policies, and procedures.

  • Oversee and ensure that assigned activities are completed in an efficient and effective way from concept to analysis including identifying emerging trends and providing recommendations on content revisions, instructor feedback and evaluation data to program management.

  • Respond promptly and professionally to emails, phone calls and requests from staff as well as internal and external customers.

  • Coordinate with internal and external customers to develop, maintain, and update program materials.

  • Maintain event calendars, schedules, ensure adherence to budget thresholds, negotiate necessary vendor contracts, and produce and distribute required documentation.

  • Manage input of web edits, database updates and surveys for assigned events or projects.

  • Develop communications and promotional materials to showcase NCJTC activities as directed by program management staff. These may include print-based, web-based, and other media.

  • Provide project statistical and/or performance data for federal and/or state reporting purposes.

  • Assist with special projects as needed.

  • Use project databases, tools, technology platforms, management systems, reports, and other processes, procedures, and systems to ensure efficient operation and foster teamwork to accomplish project goals.

  • Perform other related duties as necessary for effective operational administration supporting the best interest of NCJTC.






SECONDARY JOB FUNCTIONS



  • Serve as back up to other program staff as needed.

  • Serves as CRM inbound point of customer contact in the absence of the program coordinator.

  • Organizes RFP process, negotiates space and logistics with host agencies hotels and training facilities.

  • Coordinates training development and curriculum design with subject matter experts/independent contractors as directed.

  • Assists with arranging and tracking the utilization of instructors (associates) and providing support and assistance to participants and host agencies or training facility personnel.

  • Conducts customers outreach, and follow-up as needed related to web inquiries for contract training requests and CRM activities.

  • Develops and coordinates program evaluations.

  • Promotes NCJTC at conferences and other events as assigned Contributes to ongoing contracting team goals.






QUALIFICATIONS, TRAINING, AND EXPERIENCE



  • Bachelor's Degree in related field or equivalent work experience, PLUS

  • Minimum of one-year relevant occupational experience, OR

  • An equivalent combination of education, training, and experience from which comparable knowledge and abilities can be acquired.

  • Experience with the delivery of in-person and online training or events preferred.

  • Must adhere and maintain a high level of integrity and confidentiality in working with NCJTC clientele and staff.

  • Ability to establish and maintain effective work relationships with staff, constituent groups, and customers, including interaction with officials from the highest levels of tribal, local, state, and federal governments.

  • Ability to work in a team-based environment.

  • Excellent communication skills, both oral and written.

  • Superior customer service attitude in working with the public and others.

  • Self-motivated with the ability to work independently and with frequent time-sensitive demands, utilizing excellent time management and planning skills.

  • Technical aptitude and proficiency in administrative procedures and software applications which includes but is not limited to Microsoft Word, Excel, PowerPoint, Dynamics and Outlook, as well as Adobe products and project management software.






Additional Information



Pay: $52,200.00 - $78,400.00 per year.


Pay is based on a multitude of factors, including experience, qualifications, education, relevant certifications, internal equity, and market data. Note: Internal applicants' wages will be based on the applicable compensation structure.
