Position Summary:

The Rice Biotech Launch Pad is looking for a full-time Administrative Assistant I. The Rice Biotech Launch Pad is a startup accelerator in the Office of Innovation whose mission is to accelerate the translation of Rice University discoveries and technologies into clinical practice to provide rapid patient access to leading-edge therapeutic products. Under the Launch Pad Program Administrator, Research Administrator and Fiscal Specialist, the assistant will work to complete general office administrative duties such as purchase card clearing, event planning and execution, website maintenance, and other duties as assigned.

This position is in a fast-paced environment.

On campus position: This position is exclusively on-site, necessitating all duties to be performed in-person at the Bioscience Research Collaborative Building, 6500 Main St. Per Rice policy 440 , work arrangements may be subject to change.

Proposed Hiring Range: $22.00/hour

*Non-Exempt (hourly) positions under FLSA are eligible for overtime.

Minimum Requirements:

Minimum education and experience requirements:


  • HS Diploma or equivalent
  • 1 year of related experience

    • In lieu of the experience requirement, additional related education, above and beyond what is required, may be substituted on an equivalent year-for-year basis.



Skills:

  • Basic computer skills and demonstrated experience with office software and email applications.
  • Ability to follow through and complete assigned tasks.
  • Good organizational skills and attention to detail
  • Good verbal and written communication skills
  • Good customer service and interpersonal skills
  • Ability to maintain confidentiality.


Preferences:
  • Flexible and can work in a fast-paced environment.

Essential Functions:

  • Greets visitors and routes them to appropriate individuals, answers phones and emails, and serves as a resource on procedures and general inquiries.
  • Distributes routine communications such as memos, notices, emails, and letters.
  • Enters data into basic tables, reports, and spreadsheets, makes copies, and monitors and orders office supplies.
  • Tracks facility and office equipment, such as keys, and projectors, via logs, and schedules repairs as needed.
  • Handle incoming and outgoing mail and packages.
  • Review invoices for accuracy, prepare expense reports for faculty and staff purchase cards, and process reimbursements.
  • Arranges meetings and assist with routine conferences, including scheduling rooms, managing equipment, ordering meals, and assembling materials.
  • Makes travel arrangements and accommodations.
  • Creates and maintains files and filing systems.
  • Sets up office spaces and/or supports coordination of basic office moves.
  • Performs other duties as needed/assigned.
