Job Description:

The Accounts Payable Manager is responsible for the timely and accurate processing of the company's accounts payable. This role also serves as the focal point for company purchasing efforts including vendor acquisition, contract negotiations, and vendor account management. Additionally, this role hires, trains, and coaches the A/P Team. (This is meant to be a guide. Duties may vary dependent upon management.)

Essential Position Functions:


  • Manages the timely and accurate processing of accounts payable across multiple locations (national and regional) ensuring 3-way match process is followed.

  • Ensures all A/P documents and payments are processed, scanned, and stored in accordance with company policy.

  • Maintain and develop A/P policies, practices, and internal controls to ensure company assets are safeguarded.

  • Oversees weekly and ad hoc payment runs using check, ACH, credit card, and wire payment methods.

  • Reviews GL distribution of A/P transactions to ensure accounting and reporting accuracy.

  • Participates in monthly close activities and performs month end reconciliations of related A/P accounts.

  • Maintains the company's vendor database including set-up, maintenance, periodic reviews and purging terminated accounts.

  • Vendor management and 1099 reporting

  • Assist with quarterly/annual audit requests related to Accounts Payable

  • Manage department workflow and internal controls.

  • Collaborate with other departments to resolve vendor billing discrepancies and monitoring aging of received not invoiced report.

  • Ensure vendor billing discrepancies are resolved timely.

  • Other duties as required.

Education and/or Experience:


  • High school diploma or GED required.

  • BS in accounting, finance or related business discipline preferred.

  • Knowledge and ability to interpret accounts payable principles, procedures, regulations, and standards.

  • Experience managing and processing inventory related vendor invoices including 3-way matching and reconciling received not invoiced discrepancies.

  • Minimum of 10 years of directly related accounting experience, preferably in a large, high volume corporate environment.

  • Minimum of 10 years of managing a large group of employees

  • Ability to train employees to include organizing, prioritizing, and scheduling work assignments.

  • Experience using ERP accounting platforms.

  • High proficiency with Microsoft Excel

  • Must be detail oriented and extremely organized.

  • Must have intermediate Microsoft Office (Word, Excel, Outlook) skills.

  • Must be able to efficiently use a Windows-based computer.

  • Ability to prioritize and complete assignments accurately and in a timely manner.

  • Able to effectively handle multiple priorities with a strong attention to detail in a fast-paced environment.

  • Strong interpersonal, organizational, oral and written communications skills.

  • Must be able to read and communicate in English, for safe and effective performance of the job and business operations.

  • Must be able to work alone, and with a team.

  • Must be able to pass a drug screen and criminal background check.
