ESSENTIAL FUNCTION OF POSITION:


Under the direction and supervision of the Associate Dean of Continuing Education, the Special Projects Coordinator is responsible for assisting with the management and coordination of special projects offered through the School of Continuing Education. Such projects include but are not limited to select grant initiatives and apprenticeship programs. The Special Projects Coordinator works closely with other departments within the college, as well as with outside organizations, agencies, and school districts to provide the community with accessible and equitable learning opportunities year-round.


This position requires excellent organizational management and communication skills, experience fostering strong working partnerships, and an ability to operate independently with an entrepreneurial philosophy. The Special Projects Coordinator is responsible for growing and supporting programming aimed at providing innovative educational opportunities for the community and meeting institutional goals.



Qualifications:


QUALIFICATIONS:


a. EDUCATION: A Bachelor's degree from an accredited institution is required, preferably in education, business, or organizational management. b. EXPERIENCE: Minimum of two years of experience working in an office setting, serving as a lead facilitator on small projects and/or providing administrative support on large projects. Demonstrated experience forming successful alliances with internal and external stakeholders is helpful. Experience working with grants and familiarity with grant reporting preferred. c. KNOWLEDGE: Familiarity with current project tracking software used to manage projects and report data. Demonstrated understanding of technical writing and successful experience submitting grant applications are helpful. d. SKILLS: Excellent interpersonal and communication skills are required. The ability to work collaboratively in a team environment is important. Activity coordination and project management skills are essential. Must have legal driver's license and working vehicle. Experience with Microsoft Office Suite; proficient in Word and Excel.



Responsibilities:


RESPONSIBILITIES:


1. Assist in managing and coordinating select grant initiatives and apprenticeship programs offered through the School of Continuing Education.2. Responsible for tracking enrollment numbers, student data, budget expenditures, and measurable outcomes.3. Assist with the development of marketing materials and student recruitment for special projects.4. Assist with collaborating with faculty, staff, businesses, and organizations to promote initiatives and recruit students.5. Manage supplies and inventory associated with special projects and submit supply orders as needed. 6. Manage and assign classroom spaces/locations associated with special projects.7. Perform general office support duties including answering telephone; greeting visitors, students, and/or employees; screening calls; taking messages; responding to voice or e-mail messages; referring individuals and inquires to appropriate personnel; and disseminating department or institution information as necessary. 8. Assists special project participants with tasks such as filling out enrollment forms and submitting tuition and/or tuition waivers. 9. Assists with distributing electronic announcements informing participants of updates and upcoming events. 10. Perform routine duties using word processing, data processing, data entry, database management, and other computer systems and software. 11. Maintain calendar for upcoming events, meetings, projects, and activities, and schedule appointments.12. Compile data and maintain department records and files needed for preparation of reports. 13. Develop effective processes to retrieve and update files as necessary. 14. Performs other job-related duties as assigned by supervisor according to established practices, procedures, techniques, and standards.
15. This is a temporary position starting 4/1/2024 to 03/31/2025.
