Job Summary: As an Administrative Assistant, you will play a pivotal role in ensuring the smooth functioning of our day-to-day operations. As a jack-of-many-trades, you will be responsible for coordinating various operational tasks, creative problem-solving, supporting the management team, and contributing to the overall efficiency of our company.
Key Responsibilities
Coordinate and oversee the execution of administrative operations activities.
Executive administrative support to the Managing Partner and Vice President(s).
Assist in the development and implementation of operational policies and procedures.
Manage scheduling, workflow, and deadlines for multiple departments.
Monitor and procure necessary office supplies and equipment.
Supporting accounting in tracking payables and receivables.
Liaise with other departments to ensure operational alignment and efficiency.
Handle logistics for shipping and receiving, inventory management, and order fulfillment.
Prepare and present reports on operational performance to senior management.
Assist in budget preparation and expense management for the operations department.
Ensure compliance with federal, state, and local operational regulations and laws.
Provide administrative support as needed.
Additional Responsibilities:
Communications and Social Media Marketing:
Collaborate with the marketing team to develop and execute social media strategies.
Manage social media accounts, create content, and engage with the audience.
Monitor social media analytics and adjust strategies as needed.
Executive Support:
Provide administrative assistance to executives, including calendar management, travel arrangements, and meeting coordination.
Draft and proofread executive communications, presentations, and reports.
Contracts Management:
Assist in drafting, reviewing, and maintaining contracts with vendors, clients, and partners.
Ensure compliance with contractual terms and conditions.
Vendor Liaison (IT and Others):
Serve as the point of contact for IT vendors, addressing technical issues, procurement, and service agreements.
Collaborate with vendors to optimize technology solutions and troubleshoot any operational challenges.
Qualifications:
Bachelor's degree.
At least a cumulative of one-year experience working whether part-time or full-time
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Proficiency in Microsoft Office Suite and other operational software.
Ability to work independently and as part of a team.
A problem-solving mindset.
