Ricoh seeks a Site Supervisor to oversee day-to-day operations at a specified legal office environment. The role involves supervising a small team, providing employee developmental support, and ensuring compliance with procedures. The Site Supervisor interacts with senior-level attorneys, clients, and other stakeholders, managing office functions like copy, production, scanning, mail, and shipping. They also handle billing, profit management, and implement service excellence methodologies.
Responsibilities:
Supervise daily operations within a legal office environment.
Provide developmental support and assist in employee relations matters.
Develop, implement, and review procedures for compliance and improvement.
Prepare, validate, and invoice clients as per billing needs.
Handle customer issues and provide direction for issue resolution.
Manage office functions including copy, production, scanning, mail, and shipping.
Assist with hospitality, conference room set up, receptionist backup, facilities support, and inventory control.
Understand legal workflows and technologies, including document management systems and cost recovery systems.
Schedule equipment, labor, and supplies for offsite trials.
Implement and manage Ricoh Service Excellence methodology.
Ensure quality work in a sensitive legal environment.
Train staff on workflow and machine operations.
Achieve shift profitability and maintain quality of work.
Facilitate resolution of pricing, orders, and invoicing issues.
Maintain positive internal working relationships.
Complete site reports, paperwork, and month-end management reports.
Assist account manager with financial reporting.
Qualifications:
High school diploma or GED required, with 2+ years of related experience.
Minimum of 2 years experience in the legal industry strongly preferred.
Proficiency in Word, Excel, PowerPoint, Adobe, and legal software preferred.
Experience delivering training sessions and operating advanced machines.
Knowledge of different types of law and legal departments preferred.
Strong interpersonal and customer service skills.
Ability to handle confidential documents and sensitive projects.
Detail-oriented with excellent organizational skills.
