Job Description:

Description

Alvarez & Marsal (A&M) is a premier independent global professional services firm specializing in providing turnaround management, restructuring, performance improvement, and corporate advisory services.

At A&M, the Life Sciences practice provides a broad range of services for our clients who are operating in an industry with high risks and rewards. We understand the urgency of their business and put our expertise to work when they need it most - when there are no second chances, company futures are on the line, and past attempts must now succeed. When time is of the essence, our clients turn to us - trusting we have the experience and solutions to help them reach their goals. Goals like successfully navigating financial constraints, maximizing a key product launch to ensure that patients can access the medicines they need, or effectively scaling during periods of rapid growth. Come be part of a team that is making an impact on the lives of so many. Join us in making a difference.

Our team prides itself on sustaining a culture that reflects our core values. We value integrity, quality, and objectivity in our work. We believe every day is a choice, and so we like what we do and with whom we do it. We embrace diversity, foster inclusiveness, and reward merit. We encourage and support our employees and communities through ongoing investments from leadership, social and networking events, peer-to-peer networks, Employee Resource Groups, volunteer opportunities, and pro-bono work. We are committed to promoting an inclusive environment in which all can develop, grow, and be supported.

What will you be doing?

As an Executive Assistant, you'll be the backbone of our partners' productivity, supporting a cohort of 4+ Managing Directors. We offer a flexible hybrid work arrangement with 1 day per week in the office and 4 days remote, allowing you to maintain a healthy work-life balance while fostering in-person collaboration. You can choose to be based in our offices in Boston, Dallas, Houston, or New York City. Your primary focus will be on:

  • Managing complex calendars with precision, resolving conflicts before they arise

  • Coordinating travel arrangements that optimize our partners' time and comfort

  • Handling email correspondence efficiently

  • Processing expense reports and time entries accurately

  • Organizing and facilitating practice events like offsites and town halls

  • Reconciling corporate credit card statements

  • Keeping track of billing tasks, including preparing and tracking invoices

But here's where it gets exciting: You'll go beyond these administrative tasks to become a true strategic partner.

How will I contribute to the practice's success beyond administrative tasks?

You'll have the opportunity to directly impact the success of our partners and the practice as a whole. By keeping our partners focused on high-value activities and contributing to our operational excellence, you'll play a crucial role in our growth and success in the life sciences industry.

Your role is critical in shaping our practice's culture and operations. You'll:

  • Engage with colleagues across the practice to foster a collaborative environment

  • Offer insights on leading practices to optimize our operations as we scale and grow

  • Anticipate potential issues and resolve them proactively

  • Alert partners to potential synergies or conflicts in client engagements

  • Help maintain our marketing dashboard and content calendar

  • Ensure partners' time allocation aligns with their sales targets

Direct client interaction will be minimal, primarily limited to scheduling meetings. However, your behind-the-scenes work will significantly impact our client relationships and business development efforts.

How will you grow and be supported?

We're committed to your professional development and will work with you to chart a career path that aligns with your goals and strengths. For example, this role can be stepping stone to a more senior, CEO-level executive assistant position or a lateral move within the organization, such as roles in Operations or Human Resources.

What are we looking for?

People who are personable, knowledgeable, poised, entrepreneurial, and fun. A unique blend of qualities that cannot be fast-tracked into existence. You possess desirable qualities such as being anticipatory, enthusiastic, motivated, and respectful, which earns the respect of others. You've been an Executive Assistant for at least 2 years. While prior life sciences knowledge isn't required, we're looking for someone with a genuine curiosity and eagerness to learn about our industry. Your willingness to understand our work will enhance your ability to support our partners effectively.

Proficiency in technology and willingness to learn software beyond Microsoft Suite is crucial, specifically:

  • Outlook for email and calendar management

  • Teams for communication

  • PowerPoint, Excel, and Word for basic document preparation

If you see yourself in this description, we want to hear from you!
