Primary Job Functions:


Join the Department of Art and Art History as a dedicated and service-oriented Administrative Assistant! The Administrative Assistant supports these departments by managing administrative tasks, coordinating events, overseeing budgets, and much more. If you have a keen eye for detail and a passion for supporting academic excellence, we invite you to be a part of our dynamic campus community.

  • Greet visitors and provide information.
  • Support faculty with administrative tasks.
  • Manage work-study students.
  • Schedule and coordinate meetings/events.
  • Handle event advertising and social media.
  • Archive capstone works.
  • Coordinate course scheduling.
  • Manage scholarships and communications.
  • Provide tours and liaise with prospective students.
  • Oversee and reconcile budgets.
  • Process orders and reimbursements.
  • Take and verify meeting minutes.
  • Manage photography equipment.
  • Monitor art studios and supplies.
  • Answer and route calls.
  • Maintain office systems and supplies.
  • Sort mail and prepare travel reports.
  • Track room reservations and course enrollments.
  • Proctor exams and troubleshoot IT issues.
  • Update faculty schedules and post changes.
  • Making travel, accommodation, and meal arrangements for faculty and visitors.
  • Scheduling and assisting in faculty searches and hiring processes as needed.

Minimum Qualifications:

  • At least 2 years of related job experience (e.g. office, customer service, etc.).
  • High school diploma (Bachelor's Degree preferred).


Knowledge, Skills &
Abilities:


  • Knowledge and practice of organizational and time management skills.
  • Strong technology aptitude to learn and utilize digital tools such as event management technology, email marketing, content management, etc.
  • Computer fluency including Microsoft Office Suite, ability to learn and utilize CRM database, reporting tools, and other technology/systems.
  • Ability to maintain and update files and records with a high degree of accuracy.
  • Ability to analyze information and make judgement decisions.
  • Ability to manage multiple projects with accuracy.
  • Strong communication skills to deal effectively with faculty, staff, and students.


Work Schedule:


The Administrative Assistant role is a full-time 12-month appointment, scheduled to work 37.5 hours per week during academic year and 21.5 hours per week during summer, for a total of 1,742 hours annually. Work hours are Monday - Friday between the core hours of 8:30am - 5:00pm. Schedule will be discussed during the interview process. Overtime may be required to meet business needs.


Work Environment:

  • This is an in-person, campus-based position, working in an open office environment.
  • Work requires visual strain due to computer usage.
