Program Coordinator - Serious Illness Care Program🔍School of Medicine, Stanford, California, United States📁Administration📅Sep 25, 2024 Post Date📅104714 Requisition #The Program Coordinator (Administrative Associate 3) will provide administrative or operational support with limited supervision for Quality Initiatives and the Serious Illness Care Program for the Department of Medicine. The Department of Medicine (DOM) is the largest department in the school and provides clinical services to approximately 40% of SHC patients. With a consolidated budget of more than $360 million, fifty percent from clinical activity, and nearly 600 faculty members, the Program Coordinator plays a vital role in quality initiatives across the department. The Serious Illness Care Program (SICP) was developed as a collaborative approach to implement new methods and techniques to address patients facing serious illness or end-of-life decisions. Stanford DOM has entered into this collaborative program with the Brigham and Women's Hospital (Boston, MA) and is currently piloting these methods and tools within the Oncology and Hematology divisions in the DOM, and within the cancer service line at Stanford Health Care (SHC). The implementation team is responsible for planning, executing, and overseeing elements of the Serious Illness Care Program through the lifetime of the project. The Program Coordinator is a core member of the implementation team and will be responsible for the following: complete oversight of the SICP training component, maintenance of DOM and SICP reports and dashboards, conduct analytics via the EPIC electronic medical record and SHC Edge Reporting, partner with the clinical leads and project manager to prioritize and respond to program inquiries, maintain reporting compliance with CME, enhance program tools and methodologies, support scheduling of meetings and workshops, process financial transactions in Oracle, and support decisions that improve both costs and quality, among other duties as assigned. The Program Coordinator will preferably have experience in program implementation and a background in administrative operations. It is essential that they demonstrate excellent working relationships with physician leaders and other clinical and non-clinical staff. He or she often serves as a resource on special projects as required. The position requires excellent communication skills and the successful candidate will ideally have experience in a highly professional setting. The ideal candidate will have the ability to work independently and in a team environment. This role requires work from the Stanford University campus 1-2 days per week with the option to work remaining days from a work location outside of Stanford University. Duties include:
Work with the Clinical Lead and Project Manager to maintain and implement the Serious Illness Care Program, including the Communications Skills Trainings, across DOM divisions. Act on behalf of the supervisor, department manager, or chair in regard to establishing priorities and identifying and resolving problems that are administrative in nature. Oversee and host Serious Illness Care Program's Communication Skills Trainings, including communicating with clinician trainees, faculty trainers, and patient actors, maintain CME compliance.Oversee and/or perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing event within budget. Maintain spreadsheets and databases for quality dashboards for DOM and SICP using specialized software and systems. Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantial editing and fact checking. Create, maintain, modify, and/or ensure accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites. Plan and schedule calendar(s) with limited consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies. Gain and disseminate subject matter expertise through participation in the Care Program Collaborative between Stanford DOM and Brigham and Women's Hospital. Oversee and/or process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies. May assist with capital or special equipment requests and/or vendor selection.

Bachelor's degree preferred.Experience in Stanford business intelligence systems or other clinical and administrative computing systems preferred.Familiarity in program implementation preferred.
EDUCATION & EXPERIENCE (REQUIRED):
High school diploma and four years of administrative experience, or combination of education and relevant experience.

The expected pay range for this position is $39.46 to $44.30 per hour.
