The Stanford Accelerator for Learning is seeking a full time Executive Assistant and Project Manager to join our team. This role will be eligible for a hybrid work arrangement in which the employee will be expected to work a minimum of 2-3 days onsite per week. The need for an onsite presence may increase briefly and intermittently for events. POSITION SUMMARY

The Stanford Accelerator for Learning is seeking a highly experienced and proactive Executive Assistant and Project Manager to provide complex and diversified administrative support to the Executive Director and leadership team. This role requires a high degree of professionalism, independent judgment, and the ability to anticipate needs, prioritize, and manage both administrative and project responsibilities with minimal supervision. The ideal candidate will manage multiple priorities and handle high-level, confidential matters with discretion, while also driving key projects that advance the Accelerator's goals.





Key Responsibilities:






Executive Support:


  • Provide comprehensive administrative support to the Executive Director and senior leadership, including complex calendar management, scheduling, and resolution of scheduling conflicts with limited or no consultation.



  • Anticipate the needs of the Executive Director, independently handling administrative tasks and solving problems.



  • Act on behalf of the Executive Director in establishing priorities and resolving administrative issues.



  • Serve as a liaison to internal and external stakeholders, screening calls, emails, and correspondence, and ensuring the Executive Director is informed of matters requiring attention.



  • Manage complex travel arrangements in compliance with university policies, including preparing detailed itineraries for meetings, conferences, and events.




  • Project Management:


  • Manage multiple, concurrent projects, ensuring timelines, deliverables, and milestones are met.



  • Lead cross-functional collaboration and communication to ensure project success.



  • Conduct research, develop reports, and provide data analysis to support decision-making and project outcomes.



  • Track and follow up on action items and deadlines on behalf of the Executive Director, ensuring that all priorities are addressed.



  • Assist in the preparation of presentations, correspondence, and meeting materials.






  • Event Planning and Coordination:


  • Independently plan and execute key events, workshops, and conferences, coordinating logistics, including venue booking, catering, and audio-visual needs.



  • Oversee high-level engagements with internal and external constituents, including senior staff, donors, and government officials.




  • Operations & Administrative Support:


  • Manage office operations, including purchasing, record-keeping, and supporting budget preparation.



  • Draft, edit, and review communications, reports, and documents with a high level of accuracy and attention to detail.



  • May supervise administrative staff, subordinates, and vendors, and provide leadership in ensuring operational efficiency.

    Minimum Requirements:



    Education & Experience:


    High school diploma or equivalent required, with at least five years of relevant experience, or a combination of education and relevant experience.



    Knowledge, Skills and Abilities:



  • Demonstrated high-level administrative experience, including advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint) and email applications.



  • Excellent verbal and written communication skills, including editing, proofreading, and the ability to develop presentations and reports.



  • Strong organizational and planning skills, with the ability to prioritize multiple tasks and meet deadlines.



  • Demonstrated ability to handle sensitive issues and maintain strict confidentiality.



  • Proven ability to work independently, take initiative, and solve problems proactively.



  • Professionalism, discretion, and the ability to navigate complex and dynamic environments.



  • Strong project management skills, with a track record of leading successful initiatives.



  • Flexibility and adaptability to changing priorities in a fast-paced setting.



  • Preferred Qualifications:



  • A Bachelor's degree is preferred.



  • Experience in higher education, research institutions, or non-profit organizations.



  • Familiarity with Stanford University's systems and processes.



  • Experience with event planning and coordination.

    The expected pay range for this position is $44.84 - $50.43 per hour. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.

    Physical requirements:


  • Constantly perform desk-based computer tasks. Frequent sitting.



  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.



  • Rarely twist/bend/stoop/squat, kneel/crawl.
