Our client is seeking a highly organized Executive Assistant to support their partners and staff. This person will help with office management, HR tasks, and more to keep things running smoothly.
Key Responsibilities:
Post job ads, screen resumes, and schedule interviews.
Help interview candidates with the paralegal supervisor.
Handle paperwork for disability, unemployment, and COBRA.
Manage employee onboarding and offboarding, including forms and training.
Get Lexis ID numbers for new hires.
Oversee receptionists in the Princeton office.
Handle questions from government agencies and act as a liaison for government clients.
Review and manage CLE credit requests and applications.
Ensure credits are obtained and follow up with conference organizers.
Manage office mail and phone calls.
Help with legal tasks, order small equipment, and fix minor tech issues.
Keep the office clean and generate retainer letters.
Assist with writing checks and posting time entries as needed.
Troubleshoot basic IT problems and coordinate with IT services.
Answer IT security questions from clients.
Manage applications for business certifications and supplier diversity with major companies.
Qualifications:
Experience as an executive assistant or in a similar administrative role, preferably in a legal or professional setting.
Strong organizational and multitasking skills.
Excellent communication skills.
Proficiency in Microsoft Office; knowledge of legal software (e.g., PC Law) is a plus.
Ability to work independently and handle multiple tasks in a fast-paced environment.
