ABOUT THE ROLE:

Location: Birmingham, Alabama

As the Office Manager & Administrative Assistant at TASSCO, reporting directly to the President, you will play a pivotal role in enhancing the operational efficiency of our Birmingham office by providing vital support to the executive leadership and senior management teams. You will oversee critical functions, including meeting coordination, event planning, and document preparation, while ensuring smooth office operations and managing logistics. Additionally, you will support essential HR functions such as onboarding and time off assistance, always upholding the highest standards of confidentiality. Your proactive approach and attention to detail will streamline executive workflows, enable timely project execution, and contribute to a collaborative and efficient office culture.

KEY RESPONSIBILITIES

Executive Support:
  • Provide executive support to four executive-level leaders: President, President of Sales, Sales Director, and Engineering Director.
  • Schedule and coordinate logistics for meetings and events, handle associated communications, and proactively resolve conflicts for executive team members.
  • Support executive team with IT, calendar, and email support or delegation as needed.
  • Coordinate travel arrangements, prepare itineraries and book logistics.
  • Execute logistics of offsite meetings and local events.
  • Prepare and distribute agendas, presentations, and meeting materials as needed.
  • Handle expense reports, ensuring accurate and timely submissions.
  • Execute and provide logistical support for all industry trade show events by registering for and coordinating attendee travel arrangements. Help ensure expenses fall within pre-established corporate budget for trade show expenses.

Communication, Document Preparation, & Document Administration:
  • Provide administrative support to four leadership team members: Sales Director, Production Manager, Customer Support Manager, & Chief Experience Officer.
  • Prepare or edit marketing materials, ensuring consistency in messaging and branding.
  • Prepare employee communications, meeting agendas, presentations, and other meeting materials, ensuring consistency in messaging & branding.
  • Draft and send event invitations and manage logistics for internal and external meetings.
  • Develop and manage company Intranet (MS SharePoint) for employee access to common TASSCO digital information and resources including document templates, sales & marketing materials, communication notices, process documents, HR documents, etc.
  • Handle sensitive and confidential information with discretion, ensuring security and compliance with company policies.

Office Management:
  • Oversee day-to-day office operations, including facilities, supplies, phone system, office furniture, and office equipment.
  • Support onboarding processes & logistics for new employees, including workspace preparation, and orientation sessions with key team members or departments.
  • Under the supervision of the Controller, liaise with vendors and service providers for purchasing of office-related needs
  • Administer industry compliance web portals such as Avetta and ISNetworld.
  • Purchase inventory of promotional products and handle logistics of distributing to customers and sales team members.
  • Greet visitors & provide hospitality for visitor meetings. Ensure meeting spaces & resources are reserved and prepared. Coordinate refreshments when required.

Human Resources & Employee Culture Support:
  • Support onboarding, including background checks, benefit inquiries, and administration of time-off requests.
  • Prepare & manage document workflow of employment offer letters.
  • Assist with employee recognition programs and facilitate communication on HR matters.
  • Help execute employee events and cultural activities, including birthdays and other recognition events.
  • Handle sensitive and confidential information with discretion, ensuring security and compliance with company policies.

KEY PERFORMANCE OBJECTIVES

Within Your First 3 Months:

Onboarding and Building Familiarity and Operational Knowledge

Become familiar with TASSCO's internal processes, executives' and senior leadership preferences, and daily office operations, ensuring smooth execution of administrative functions.

Within Your First 6 Months:

Building Efficiency in Executive Support and Office Management

Focus on becoming the key point of contact for daily office needs and solidify support systems for the executive team, ensuring alignment with TASSCO's priorities.

Within Your First 12 Months:

Independent Leadership in Administrative Support and Office Efficiency

Build consistent support systems and maintain high standards of office management while providing vital assistance to TASSCO's executives and senior management.

QUALIFICATIONS
  • Undergraduate degree with 5+ years of administrative support experience, preferably in a corporate or industrial setting.
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word, Teams, SharePoint, PowerPoint), with experience in scheduling and document preparation software and communication tools. Familiarity with ERP Software is a plus.
  • Strong organizational and problem-solving skills with an ability to handle sensitive information professionally.
  • Excellent communication and interpersonal skills, comfortable supporting HR functions and team coordination.
