Prestigious global hedge fund is seeking a Receptionist.
Reception / Front office • Maintain reception area, 'meet & greet', answer calls directed to main switchboard and
transfer or take messages accordingly. • Portraying a professional corporate image to clients/visitors. • Maintaining a clean and tidy Reception area. • Scheduling meeting rooms and bookings including IT/VC set up as required. • Booking and setting up catering for meetings & preparing refreshments as required. • Maintaining good working relationships with all office vendor and managing vendor
schedules. • Escorting and overseeing vendors as needed. • Send cross-departmental and firm wide communications. • Open & distribute mail / scheduling mail to be picked up. • Arrange couriers and car services for executives. • Provide general office and administrative support to the business. • Ordering and maintaining stationery / kitchen supplies. • Maintain regular communication with support team in all jurisdictions. • Clear desks and set up for new staff members and visitors from other offices. • Ensure meeting rooms are in good order throughout the day. • Maintain & regularly update procedures for the support function in a timely manner • Handles petty cash & fund reimbursements. • Coordinate with the accounting team to track payments and transactions. • Updating relevant documents on the intranet as needed.
Travel • Co-ordinate travel, accommodation bookings and itineraries for international team and
internal/external international visitors. • Adhering to travel policy at all times.
Requirements • Minimum 1 year experience in operational or front office role preferably in Finance Services • Excellent administration skills • Good standard of written and verbal communication • Ability to handle multiple and conflicting priorities • Excellent knowledge of Microsoft Office • Ability to multi-task • Meticulous attention to detail • Keep calm in high pressure situations
