The Project Assistant owns organized, timely and accurate project administrative tasks including time records, certified payroll, billing, collections, job setup and job closeout activities according to company policies and procedures.
KEY RESPONSIBILITIES
Billing and collections on all projects per project requirements
Accurate and timely processing of time records
Assist Project Team with processing project documentation including accurate data entry and filing
Provides excellent customer service to subcontractors, vendors, customers, and employees
ADDITIONAL JOB DUTIES:
Process mission critical documentation such as job logs, billings, invoicing, purchase orders, pricing requests, and material price requests.
Coordination of job start, and close including maintaining job files on servicer, in Spectrum, in Procore, forms/logs, etc.
Develops and/or downloads reports, construction documents and proposals as requested (daily project reports, job hazard analysis, earned hour reports, etc.)
Assist management with all functions of daily operations, including screening calls, processing expense reports, preparation of change orders, maintaining calendars and scheduling meetings.
Collect and file project documentation, SIPs, Certified Payroll from subs, etc.
Assist project team with data entry and documentation of Kick-off meeting, using the Project Kickoff Packet.
Assist the project team in the review of project contract and scope, noting key deadlines.
Coordinate and assist with field personnel new hire paperwork, and timecard approvals.
Assist project team in the collection of accounts receivables, reporting on progress monthly.
Prepare Project Close Out schedule, working with team members to execute.
Work collaboratively and coordinate with peers to deliver effective office operations.
Ensure office supply and product inventory is maintained.
Maintain master payroll schedule and provide final approval for weekly payroll

Perform basic market research tasks as requested on assigned companies and/or decision makers to aid in the development of future business.

REQUIREMENTS
High school diploma. Some college preferred.
Prior experience in an office support role, preferably accounting (3-5 years).
Intermediate MS Excel & Outlook skills
Construction industry experience highly desired.
Construction Solar experience, a plus.
Pay Range: $18.00 - $27.00 an hour. Pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills and experience. The total compensation package for this position may also include other elements dependent on the position offered.
