Executive Assistant to the Chief Operating Officer - Luxury Jewelry Brand

Location: New York, NY

Company Overview

Lauren B, a premier jewelry company, seeks a highly motivated and detail-oriented Executive Assistant to support our Chief Operating Officer. The ideal candidate will be well-versed in executive and administrative functions, capable of managing tasks independently with minimal supervision. Experience in the jewelry or diamond industry is required to seamlessly support our dynamic environment.

Key Responsibilities
  • Executive Support: Manage the COO's calendar and team schedules, prioritize tasks, and serve as a key communication bridge between the COO and department teams.
  • Meeting & Presentation Preparation: Prepare meeting agendas, take detailed notes, ensure follow-up on action items, and develop and edit presentations, reports, and other materials for executive meetings and external engagements.
  • Vendor Liaison: Act as the point of contact for external vendors, product licenses,, managing related contracts and relationships.
  • Research & Reporting: Conduct research on industry trends, competitor analysis, and market insights to provide actionable insights.
  • Product & Inventory Management: Assist in product planning and inventory records for loose diamonds and rings, as well as product updates on the website.
  • CRM Oversight: Maintain and enhance our custom CRM system.
  • Project Coordination: Lead special projects such as pop-up events, trunk shows, and company gatherings, coordinating logistics for smooth execution.
  • Onboarding Support: Assist in onboarding new team members by organizing necessary resources and introductions.
  • Cross-Departmental Collaboration: Work closely with departments including social media, production, and customer service to ensure aligned initiatives.
  • Sales & Client Support: Assist sales staff and clients as directed by the COO.
  • Materials Management: Handle ordering of branded materials, brochures, and other promotional items.

Qualifications
  • Jewelry/Diamond Industry Experience: Prior experience is mandatory.
  • Education: Bachelor's degree preferred.
  • Technical Skills: Proficiency in computer applications and internet-based tools; familiarity with CRM systems is a plus.
  • Communication: Strong written and verbal communication skills with a client-oriented approach.
  • Organizational Skills: Ability to prioritize, multitask, and meet deadlines in a fast-paced environment.
  • Proactive Mindset: Demonstrates foresight in addressing administrative needs and resolving issues proactively.
  • Professionalism & Confidentiality: Maintains discretion in handling sensitive information.
