The Office Manager will be responsible for overseeing the daily administrative functions of the office, managing office supplies, coordinating with vendors, and ensuring a well-functioning and productive work environment. Additionally, he or she will be supporting the team for the business development activities. The ideal candidate is a self-starter with excellent communication and organizational skills.
Responsibilities:
Administrative support: Schedule and organize meetings, conferences, and lunches, ensuring all logistics are handled efficiently.
Assist with document preparation, including formatting and editing in MS Word, Excel and PowerPoint.
Reporting and working with management to improve office operations and procedures.
Develop and implement organized filing systems.
Serve as the point of contact for employees, supporting them for their administrative needs.
Conduct research and gather information as the management needs. (support for biz dev activities by connecting people and researching.)
1. Office Management:
Oversees the office's day-to-day operations, including managing supplies, facilities, and vendors to ensure a clean, functional, and efficient working environment.
Maintain a clean and organized office environment, ensuring all health and safety standards are met.
Coordinate all aspects of meeting logistics, including preparation of agendas, briefing materials, and follow-up actions.
Arrange and manage all travel logistics, including transportation, lodging, and itineraries for both local and out-of-state events.
Management of travel expenses for executive team.
Act as the main point of contact for building management and external vendors (suppliers, service providers, etc.).
Handle incoming and outgoing correspondence, including phone calls, emails, and mail.
Greet and assist onsite guests.
Support with the organization of office and customer events.
Perform all other office tasks.
2. Business Development Support:
Assist in the development and execution of business strategies and marketing initiatives.
Arrange and prepare contents for booth at exhibitions and conferences.
Prepare and maintain documents, reports, and presentations as required.
Support all other business development tasks.
3. GA/HR/Accounting Support:
Support General Affairs and Human Resources by coordinating with GA and HR managers.
Assist with HR functions such as onboarding new employees.
Support the accounting team with invoicing, expense tracking, and other administrative financial tasks.
Qualifications:
Previous experience in office administration or other related fields,
Excellent organizational and multitasking abilities with keen attention to detail.
Experience in Executive Assistant preferred
Effective communication skills, both written and verbal.
Highly organized and detail-oriented
Basic knowledge of HR principles and practices (HR experience is a plus).
Team player capable of working in a way that reflects the firm's core values and principles
Advanced computer skills using Microsoft Office suites: Word, Excel, PowerPoint and Outlook
Strong attention to detail and problem-solving skills
Experience or interest in business development or related fields is a plus.
