Position Description
The Administrative Operations Coordinator plays a crucial role in supporting the daily functions of the office, ensuring efficient administrative processes, and providing comprehensive support to the CEO and executive team members. This position requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Roles & Responsibilities
Manage and maintain the schedule of the CEO, including coordinating meetings and appointments.
Prepare and distribute correspondence, reports, and presentations as needed.
Handle incoming calls, emails, and inquiries, directing them to appropriate parties.
Assist in the onboarding process for new employees.
Plan and coordinate in-office events, including logistics and catering.
Prepare agendas and take minutes during executive meetings and distribute them to the proper parties.
Any other job functions that may be assigned.
Basic Qualifications
Completion of Bachelor's degree
Previous experience as an administrative assistant, executive assistant, or similar role.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
Excellent organizational and time-management skills.
Strong written and verbal communication skills.
Ability to prioritize tasks and work independently.
High level of professionalism and discretion.
Knowledge and experience with the use of AI and related technologies.
