The IT Asset Management Specialist will assist the purchasing of IT equipment, licensing, and other IT assets needed for our clients and for Starfish Computer Corporation. And, when needed, provide support for our Office Manager in overseeing the day-to-day operations of our office. This role requires a blend of administrative expertise, organizational skills, and experience in purchasing to ensure efficient supply chain management and smooth office operations.
Key Responsibilities:
Purchasing & Procurement
Provide Operations Support with the purchasing of IT equipment, licensing, and other IT assets.
Manage the procurement of office supplies (when required).
Source and evaluate suppliers, negotiate contracts, and establish long-term relationships with vendors (when required).
Ensure compliance with company policies and procedures related to procurement and financial management.
Warehouse management
Ordering
Returns processing
Inventory management
Shipping and handling
Configuration sheets
Labelling
Equipment deployment tickets and scheduling
Removals/Equipment destruction coordination
Chassis/hard drive identification and documentation
Hard drive proof of destruction documentation and notification
Yearly Renewals
Maintain yearly software and hardware renewals for all clients in Tigerpaw
Provide January renewal schedules to clients for sign-off
Ensure client renewals are ordered and applied to clients' accounts
Office Operations Management Support:
Assist in the oversight of daily office operations as needed.
Coordinate and manage office supplies and inventory, ensuring availability and cost-effectiveness.
Serve as the secondary point of contact for office-related vendors, service providers, and office maintenance.
Assist in preparing reports, presentations, and correspondence.
Coordinate internal and external meetings, including booking venues and arranging logistics (when required).
Assist in the maintenance of accurate records of purchases, contracts, and warranties for IT assets and office equipment.
Provide administrative support to the President (when required).
Qualifications:
Bachelor's degree in business administration, Office Management, or related field preferred.
Proven experience in purchasing licenses, and computer hardware and software.
Strong knowledge of purchasing procedures and best practices.
Experience in negotiating with vendors and managing procurement processes.
Excellent organizational and multitasking skills.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
Effective communication and people skills.
Ability to work independently and as part of a team in a fast-paced environment.
