The Opportunity
Develop, implement, evaluate, and manage meetings and event operations for client-supported programs.
Develop and manage detailed program/project plans, monitoring specific tasks and tracking deliverables towards deadlines.
Liaise with meeting venues and vendors ensuring that all contractual requirements are fulfilled by set due dates.
Develop program specifications and communicate with suppliers the execution needs of the meeting including room set-ups, food and beverage, audio and visual, internet, and accounting.
Manage attendee housing including weekly pick-up reports, hotel rooming lists, and communicate changes to hotel as needed in response to attendee registration changes and cancellations to ensure accuracy and minimize financial risk.
Monitor meeting expenditures to ensure meetings expenses are within policy and budget.
Manage technology applications such as mobile apps, virtual platforms, and audience response system for meetings.
Manage production and production timeline. Draft and assemble registration materials including name badge printing. Prepare meeting checklists and coordinate shipping of materials for meeting.
Reconcile post-meeting invoices, including site and/or department charge backs and physician payroll deductions.
Post-meeting evaluation and analysis.
On-site support for designated meetings to ensure successful meeting execution.
Project/program management and support on an ad hoc basis for organizational/department initiatives as needed.
Gather program specifications from business owners to develop, design, and administer online registrations for meetings.
Develop written content for registration pages and registration communications. Obtain meeting invitation lists.
Lead a team through online registration testing, reviewing all deliverables for quality and accuracy.
Assess event reporting needs and produce detailed reports as needed to program stakeholders.
Administer online surveys for meetings and events, nomination solicitations, questionnaires, and other enterprise-level survey projects.
Proactively respond to and resolve registration issues and questions from attendees. Facilitate new registrations, registration modifications, and cancellations.
Provide ongoing evaluation and reflection of registration operations and develop and lead technology process improvements projects.
Provide detailed one-on-one training, resources, and guidance for new and current system account users.
Responsible for registration system administration and maintenance including, but not limited to, contracting, integrations, and database management.
Lead registration system updates related to graphics, branding, policy, annual clean-up initiatives, etc. and design project plans/timelines for implementing changes.
Required Experience and Competencies
Bachelor's degree in related field of study required.
5 years of increasingly complex coordination or program/project management experience in the meetings and events industry required.
2 years of experience working with an event registration system required.
Experience working with Cvent registration and survey management system preferred.
Ability to manage all program deliverables within time limits and on budget.
Ability to keep organized, set priorities and multi-task in a fast-paced, multi-program environment under conditions requiring speed and accuracy.
Ability to work well as a team player.
Ability to adapt and learn new ideas and concepts quickly.
Ability to be self-motivated and take initiative.
Strong time and resource management skills.
Strong attention to detail.
Strong editing and proofreading skills.
Ability to problem solve independently and in team situations.
Ability to convey information effectively in verbal and written communications.

Ability to use office equipment and automated systems/applications/software at an acceptable level of proficiency.
Ability to read, understand, and communicate in English sufficient to perform the duties of the position.
Ability to interpret meeting guidelines and policy, employ, and communicate them effectively to meeting stakeholders and meeting attendees.
Knowledge of basic HTML.
Intermediate MS Excel, Word, PowerPoint, and Outlook skills.
Knowledge of meeting technologies such as registration and survey management systems, contact databases, mobile meeting apps, and audience response systems.
Knowledge of industry best practices to maximize efficiency and elevate meeting management.
Ability to travel to meetings and events as needed.

We are excited to share the base salary range for this position is $79,600 - $119,400, exclusive of fringe benefits or potential bonuses. This position is also eligible to participate in our annual corporate Success Sharing bonus program, which is based on the company's annual performance. If you are hired at Vituity, your final base salary compensation will be determined based on factors such as skills, education, and/or experience.
