We are seeking a highly organized and detail-oriented MRT Project Coordinator to manage and oversee a wide range of internal projects, from straightforward turnkeys to more complex assignments. The MRT Project Coordinator will work closely with our Make Ready Technicians to develop and implement comprehensive project plans, including defining resource requirements, timelines, and budgets. Key responsibilities include coordinating project schedules, processing purchase orders and work orders, and performing essential administrative tasks, such as maintaining project documentation and managing inventory. Additionally, the role will involve handling financial inquiries related to project expenditures.
The ideal candidate will possess strong time management, communication, and problem-solving skills, and will be expected to collaborate effectively with both internal teams and clients to ensure projects are delivered on time, within budget, and to the highest quality standards. The MRT Project Coordinator plays a critical role in ensuring the successful execution of all projects, with an emphasis on meeting deadlines and maintaining operational efficiency.
Responsibilities:
Oversee and coordinate all project management activities, including the processing of purchase orders, work orders, and the allocation of resources, equipment, and information.
Break down projects into actionable tasks, establish clear timelines, and set milestones for successful completion.
Delegate tasks to internal teams and provide assistance with schedule management to ensure efficient project execution.
Ensure that the needs and expectations of all stakeholders (company, tenants and investors) are met throughout the course of the project.
Continuously monitor project progress, identify potential issues, and implement effective solutions to maintain project timelines and quality standards.
Serve as the primary point of contact for all stakeholders, providing regular updates on project status and addressing concerns as needed.
Utilize project management tools and software to track working hours, schedules, and financial expenditures.
Issue necessary legal documentation (e.g., trade contractor agreements and other relevant contracts) in accordance with project requirements.
Develop and maintain detailed project documentation, including plans, reports, and status updates, ensuring that all project information is accurately recorded.
Collaborate with the Quality Control Team to ensure that all project deliverables meet established standards and specifications.
Perform other duties and tasks as assigned by the Project Coordination Manager to support the successful delivery of projects.
Required Experience & Qualifications:
Proficiency in Spanish (both written and spoken) is highly preferred.
Proven time management skills with the ability to prioritize tasks effectively.
Experience in clerical work or office administration is preferred.
Proficiency in data entry with a strong attention to detail.
Familiarity with calendar management tools and techniques.
Strong phone etiquette and communication skills are essential.
Ability to proofread documents for grammar, punctuation, and overall coherence.
Experience with QuickBooks is a plus but not mandatory.
A proactive attitude towards problem-solving and teamwork is essential for success in this role.
