Shift: , 9:00 AM - 5:00 PM

Job Description:

We are seeking a dedicated Administrative Assistant to provide comprehensive support to our management team. In this role, you will leverage your organizational skills and attention to detail to ensure smooth departmental operations. You'll handle sensitive information with discretion, contribute to special projects, and act as a key point of contact for internal and external communications.

Key Responsibilities:
  • Provide general and advanced administrative support to one or more managers.
  • Prepare professional correspondence, reports, tables, and analyses with precision.
  • Handle confidential material with discretion and professionalism.
  • Assist with special projects, suggesting and implementing process improvements.
  • Maintain organized departmental filing systems, including confidential data.
  • Manage departmental supplies, communication, mail, and email.
  • Coordinate meetings, maintain calendars, and arrange travel.
  • Respond to inquiries, providing accurate information within established guidelines.
  • Perform clerical duties such as filing, faxing, copying, and data entry as needed.
  • Offer guidance and training to less experienced administrative staff.
  • Collaborate with internal departments and external organizations to exchange key information.

Expected Outcomes:
  • Demonstrate initiative and problem-solving skills to execute complex tasks independently.
  • Ensure organizational efficiency by managing tasks with minimal supervision.

Basic Qualifications:
  • High School Diploma or GED.
  • A minimum of 5 years of administrative experience.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word).

Preferred Qualifications:
  • Bachelor's Degree or Secretarial Certificate strongly preferred.
  • Experience with SharePoint content administration.
  • Prior experience supporting senior business leaders in a pharma or biotech environment.
  • Familiarity with the pharma industry and business organization operations.
  • Experience in audit procedures is a plus.
  • Strong written and verbal communication skills.
  • Demonstrated ability to prioritize effectively and maintain confidentiality.
  • Proven ability to work independently with strong initiative and organizational skills.
