We are partnering with a real estate and property management firm in Pinellas county looking for experiencedAdministrative Assistant to join their team. This firm is experiencing exponential growth and seeking a solutions-focused and detail oriented individual to support their team of Property Managers. The Administrative Assistant will have excellent communication skills as this role is essential for vendor relations, board member support, and internal schedule management.
Responsibilities:
* Provide coverage for Receptionist, as needed.
* Provide administrative support to Property Managers and ensure efficient processing of tasks for each community
* Answer, forward, and screen phone calls, schedules meetings, and support visitors
* Perform administrative duties such as filing, typing, copying, scanning, etc.
* Respond to owner's, vendor's or Board Member's inquiries and requests
* Process sale and lease applications
* Keep community owner and tenant database up to date in management software
* Process violation letters
* Scan and file documents (meeting packets, owner info sheets, notices, etc.)
* Maintain electronic file system by keeping it organized and current
* Draft annual meeting notices and complete mailing affidavits
* Take lead on insurance renewals
* Keep association forms and welcome packets updated
* Send welcome packets to Realtors with new listings
* Manage owner portals and keep information updated
Experience and Qualifications:
* High school diploma or equivalent
* Three or more years of administrative experience
* Proficient with Microsoft Office Suite (Word, PowerPoint, and Excel)
* High degree of accuracy and attention to detail
* Excellent time management and written and verbal communication skills
* Highly organized multitasker who works well in a fast-paced environment
* Consistent, professional dress, and manner
* Willingness to learn and to grow with the company
* Able to contribute positively as part of a team, helping with various tasks as required
Schedule: 8:30am to 5:30pm, Monday to Friday
Salary: $38,000 to $45,000 annually with benefits package, PTO, and more
