We are looking for an Administrative Assistant to provide general office support with a variety of other clerical related tasks for a CPA Firm.
Primary Responsibilities:
Communication: Greet clients and visitors, schedule client meetings, follow up with clients, handle calls, client inquiries, emails, and other forms of communication, and screen and route incoming phone calls. Send out client reminders and other client correspondence
Administrative Support: Administrative support for staff members as needed
Daily Duties: Processing various correspondence, individual and corporate tax returns for client review and quarterly payroll tax returns. Handle day-to-day tasks such as filing, typing, copying, and scanning, contributing to the organized flow of our office
New Client Set Up: Assisting with the preparation of new client files, including setting up folders and entering data into appropriate programs
Data Management: Organizing and maintaining client files (both digital and physical), ensuring they are available for staff members
Compliance: Ensuring compliance with confidentiality and data protection protocols, especially with financial and personal client information
Qualifications:
Experience: Minimum of 3 years in an administrative role
Communication Skills: Posses professional and clear communication skills when interacting with clients, staff and management.
Time Management: Prioritizing tasks and follow-ups are critical
Attention to detail: Meeting deadlines for administrative tasks, tax filings, client meetings, and office operations
Confidentiality: Ability to interact professionally with clients, addressing their needs and concerns efficiently while maintaining confidentiality
Technology Skills: Proficiency in Microsoft Office Suite (Word, Excel and Outlook)
Interpersonal Skills: Ability to work well within a team, offering support where needed
Familiarity with basic accounting terms will help in understanding the context of the firm's work
