The ideal candidate will be able to effectively coordinate meetings and other office events. They should be comfortable answering inbound phone calls, distributing mail to employees and handling outgoing mail. They should also possess a friendly demeanor so they can effectively interact with office visitors and interview candidates.
PRIMARY RESPONSIBILITIES:
UNDER THE SUPERVISION OF THE OFFICE MANAGER, THE OFFICE ASSISTANT PERFORMS DUTIES IN THE OFFICE UTILIZING OFFICE EQUIPMENT AND SERVICES WILL CALL CUSTOMERS.
ESSENTIAL DUTIES:
CHECK EMAIL AND VOICEMAIL
ENTER ORDERS AND GIVE TO PRODUCTION
CREATE INVOICES FOR DELIVERIES AND WILL CALL
ANSWER PHONE CALLS
MONITOR DELIVERY ROUTE SHEET TO MAKE SURE ALL ORDERS ARE PRODUCED
SERVICE WILL CALL CUSTOMERS
ENTER FUTURE ORDERS AND STANDING ORDERS
ORGANIZE NEXT DAY'S DELIVERY ROUTE
ORGANIZE INVOICES AND COD PAYMENTS AS DELIVERY DRIVERS RETURN
ORGANIZE SCRATCH PAPER SUPPLY
PRINT BLANK TEMPLATES TO BE USED FOR PRINTING INVOICES
COMMUNICATE COMMENTS AND ISSUES FROM CUSTOMERS TO OFFICE MANAGER
COMMUNICATE OFFICE SUPPLY NEEDS TO OFFICE MANAGER
COMMUNICATE ALL ISSUES DURING OPERATIONS TO OFFICE MANAGER
ASSIST WITH TASKS IN OTHER AREAS AS REQUESTED

DAYS/HOURS OF WORK:
OFFICE HOURS ARE 6AM-3PM. SHIFT HOURS WILL VARY TO MEET THE NEEDS OF THE COMPANY.
PHYSICAL AND COMMUNICATION REQUIREMENTS:
REQUIRES OCCASIONAL LIFTING OF BOXES, EQUIPMENT AND SUPPLIES UP TO FORTY (40) POUNDS WITHIN OFFICE ENVIRONMENT
SITTING, STANDING AND BENDING WITHIN OFFICE ENVIRONMENT AS REQUIRED BY ASSIGNED TASKS
