IREX is seeking a Program Coordinator in Ukraine. The Program Coordinator will support program implementation with administrative, organizational, procurement, logistics, subgrants and project management, network-building, communications, and other tasks as required.

Your Background & Skills

  • Bachelor's degree in management, administration, legal/social studies, communications, or related field.
  • Minimum of 2 years' relevant work experience.
  • Project management, and/or subgranting experience is a plus.
  • Excellent written and spoken English and Ukrainian communication skills.
  • Demonstrated proficiency with Microsoft Office (Outlook, Word, PowerPoint, and Excel).
  • Excellent attention to detail and strong organizational skills including time management, ability to prioritize multiple tasks in a fast-paced working environment, and ability to remain flexible while adhering to strict deadlines.
  • Excellent interpersonal, customer service, and communications skills, both oral and written required.
  • Strong ability to deftly prioritize competing tasks.
  • Demonstrated cross-cultural communication skills.
  • Ability to take ownership of assigned responsibilities. 
  • Demonstrated ability to work both independently and collaboratively as a team member.
  • Consistency, positivity, and flexibility.
  • Positive attitude and willingness to support and assist colleagues.
  • You must have unrestricted authorization to work in Ukraine.

Your Daily Tasks

  • Liaise effectively and consistently between the subgrantees, HQ, and local team to ensure efficient communication.  
  • Support tracking of activities across programs’ components and keep program trackers updated.  
  • Contribute to program monitoring, evaluation, learning, and data management efforts.  
  • Coordinate event logistics and travel.  
  • Drafting and contributing to written communications, including emails, internal and external memos, and program reports.  
  • Represent the program to external stakeholders and partners during phone calls and events, as required.  
  • Lead programs’ communication efforts internally and externally (communication content drafting and coordination, communication with external partners/respond to the requests, etc), as required.   
  • Drafts memos and communication for internal IREX records and reports, as needed.
  • Support the partners’ engagement, as requested.
  • Support the program network building, as requested.
  • Assist with financial tracking, payment processing, and credit card reconciliation.
  • Draft of procurement requests in compliance with IREX and USG standards.
  • Draft contracts and other consulting agreements in line with IREX and USG standards.   
  • Perform preliminary review of technical and financial subgrant deliverables and seek appropriate approvals.
  • Perform monitoring and tracking of subgrants agreement progress.
  • Update internal databases for contracts and subgrants.
  • Review expense reports.
  • Assist in seeking solutions to contractual and subgrant questions rooted in IREX and USG policies.
  • Liaise with other teams within IREX on finance and compliance issues, as requested.
  • Seeking to form effective cross-cultural communication through strong professional bonds.
  • Contribute to a positive, collaborative and inclusive team environment both within the program team and among local and HQ teams.
  • Demonstrate proactivity and ownership over assigned responsibilities.
  • Other support duties as needed.
