Job Summary: We are seeking a friendly, professional, and bilingual (Spanish and English) Front Desk Receptionist to join our team. The ideal candidate will be responsible for managing front desk operations, providing exceptional customer service, and supporting the administrative functions of our office. The ability to communicate effectively in both Spanish and English is essential for interacting with a diverse client base and ensuring a positive experience for all visitors and callers.
Key Responsibilities:
Greet and assist visitors and clients in a courteous and professional manner, both in person and over the phone.
Answer, screen, and direct phone calls in both Spanish and English.
Manage and maintain the front desk area, ensuring a clean, organized, and welcoming environment.
Schedule and confirm appointments for clients, patients, or team members as required.
Handle incoming mail, packages, and deliveries, ensuring they are distributed correctly.
Perform general office tasks such as filing, photocopying, faxing, and data entry.
Assist with coordinating office supplies and keeping inventory up to date.
Manage and maintain client records and update information in the database as needed.
Provide translations of documents or communications from English to Spanish and vice versa when necessary.
Address and resolve client inquiries or concerns in a timely and efficient manner.
Support administrative and office staff with additional tasks and projects as needed.
Ensure confidentiality and compliance with company policies and procedures.
Qualifications:
High school diploma or equivalent required; additional administrative or customer service training is a plus.
Bilingual in Spanish and English (fluent in both written and spoken communication).
Proven experience as a receptionist, front desk representative, or in a customer service role.
Strong verbal and written communication skills in both languages.
Excellent organizational skills with attention to detail and the ability to multitask.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Ability to handle sensitive and confidential information with professionalism and discretion.
A positive attitude, strong interpersonal skills, and a customer-focused approach.
Ability to work independently and as part of a team.
Preferred Skills:
Experience in a medical, legal, or corporate office environment.
Knowledge of office equipment (phones, printers, fax machines, etc.).
Previous experience working with databases or scheduling software.
