A successful company founded in 2003 that is creating products with a mission to make fresh, nutritious food a part of every lifestyle is looking for an Executive Assistant to the President. The office is near the intersection of Wilshire and Westwood. The role is hybrid; Tuesday and Wednesday in office, Monday, Tuesday and Friday remote. The President visits headquarters in Italy and the EA will need to adjust hours during those times to successfully support her. The role will also involve occasional support of 2 c-level execs. The company believes in work/life balance. The LA office has 65 employees.
About the Job:
Vet and prioritize the CEO's emails-understand company-wide KPIs, budget calendars, and operating procedures to prioritize projects, requests, and executive calendars accordingly
Make recommendations to leaders to help prioritize incoming requests
Run cadence of weekly Executive Staff Meetings and other important meetings, including planning agendas, organization, and follow-up on action items
Build and maintain effective working relationships with internal and external stakeholders
Schedule including various time zones, domestic and international
Prepare and edit correspondence, reports, and presentations
Research, prioritize, and follow up on sensitive and confidential issues, determining the best action or referral
Find opportunities to drive efficiency and streamline or prioritize work based on the executive's business goals and expectations
Plan events such as expos, strategy offsites, executive offsites, production events, company kick-offs/launches, arranging company dinners, and other corporate functions
Handle confidential and sensitive information with discretion
Screen incoming phone calls delivering detailed, timely messages to the appropriate parties
Maintain an ever-changing calendar
Schedule internal and external meetings
Create PowerPoint presentations
Oversee strategic initiatives from ideation to implementation, liaising with other functions when their support is required
Coordinate complex travel arrangements including flights, cars, hotels, and other reservations; booking transportation, and arranging lodging and meeting accommodations. This includes researching cost-effective options, staying within budget and policy guidelines, checking flight times, handling flight check-ins, managing boarding passes, and verifying lodging and car service reservations and passport and visa applications
Process expense reports
Oversee the President's credit card coding processes for the Accounting Department, ensuring accuracy and efficiency
About You:
Minimum of 5 years of experience in a related support position
BA/BS or AA from a college or university a plus
Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
Polished, professional demeanor
Proven discretion in handling confidential information Outstanding communication skills
