Job Description:

Chief of Staff, Office of the Chairman - UHNWI

Newly created senior post, targeting candidates who have previously supported an UHNW principal in financial services (Hedge Fund, PE). This role will be a key lieutenant to the CEO in managing broad aspects of the CEO's communications, personal office and personal matters. Responsibilities will be phased-in and include but not be limited to:

  • Hands-on management of day-to-day activities of the personal office including administrative staff
  • Execute for the CEO on relevant matters, supervise a group of team members, and project management
  • Personally handle sensitive projects and matters for the CEO; individual work on some group projects
  • Oversee family services team whose responsibilities include management of residences/households and property staff
  • Coordination with the Internal Accounting Team
  • Assist in managing philanthropic relationships and interactions with non-profit organizations and other affiliations
  • Work with and manage the Associate Director of Communications to oversee communications, events and special projects for the Office of the CEO
  • Prepare important trips / meetings (as needed) including local, domestic and international travel
  • Oversee the handling of routine legal matters including contracts, entity management and dispute resolutions if needed
  • Manage Office of the CEO recruiting and hiring efforts, coaching, performance
  • management, compensation, training and development, employee relations and exit plans if
  • needed. Set clear-cut goals and performance objectives and routinely provide feedback to team members.
  • Coordinate and monitor the relationship with and the services provided by current and future service providers
  • Support a comprehensive program to safeguard confidential information, preserve family privacy, mitigate operational risks and ensure personal safety
  • Selectively bring new ideas to the personal office through benchmarking, best practices and continuing education, as appropriate
  • Drive standardization of communication by team members to the CEO
  • Promote a positive image of the CEO by adhering to the highest level of professional standards and ethics
  • Adapt quickly in high pressure situations and act as an extension of the CEO in such situations
  • Anticipate needs of the CEO, follow-through to resolution and keep the CEO adequately informed of developments
  • Lead and drive other projects and initiatives as required with project management expertise

Qualifications & Experience:
  • Bachelor's degree or equivalent education required
  • Minimum of 10 years of relevant experience
  • Previous experience in a similar role within the Office of the CEO (e.g., Chief of Staff) or job relevant role
  • Must be a proven manager of a team and service providers. Possesses strong organizational, project and people management skills.
  • Proficiency in Microsoft Office products (Word, Excel and PowerPoint), Apple products and
  • Customer Relationship Management (CRM) systems
  • An experienced communicator, facilitator, mediator and navigator. Tactful in explaining ideas; easily packages and presents information based on individual preferences.
  • Effectively works at both the macro and micro level; hands-on approach but can also successfully delegate
  • Able to orchestrate relationships with multiple entities and personalities; keeps things on track, spots issues, maintains high level of quality control and protects interests of the CEO
  • Highly conscientious; can be relied upon to follow through on detailed projects and complex assignments
  • Mindful of rules, processes, procedures and standards without being paralyzed by them
  • Supportive team player; patient and results-oriented with high service orientation
  • Balanced ego, with ability to present opinions and recommendations in an objective and unbiased manner
  • Maintains confidentiality to the highest degree and discretion in all circumstances
  • Effective time management skills, organization and prioritization
  • Process-oriented and analytic with meticulous attention to detail and accuracy
  • Ability to perform in a fast-paced environment with the highest standards and a strong sense of urgency

Expected compensation range for this role is approximately $300k-500k, depending on expereince.
