Position Summary:

The Payroll Manager is a key leader responsible for overseeing the payroll department's operations and ensuring the accurate and timely processing of payrolls across multiple states on a semi-monthly schedule. This role involves managing all aspects of payroll processing, reporting, and administrative functions while ensuring compliance with applicable federal, state, and local laws. The Payroll Manager will also play a crucial role in driving process improvements, enhancing payroll systems, and providing exceptional service to employees.

Primary Duties:

  • Manages the preparation and distribution of multi-state payrolls on a semi-monthly basis.
  • Ensure compliance with federal, state, and local payroll laws and regulations.
  • Develop and implement payroll policies and procedures to improve efficiency and accuracy.
  • Collaborate with HR, finance, and other departments to ensure seamless payroll operations.
  • Review employee time sheets and attendance processing that interface with UKG payroll software and handles complex issues as they arise.
  • Prepare and submit payroll reports to management and regulatory agencies.
  • Drive continuous improvement initiatives to enhance payroll processes and systems.
  • Monitor time off requests to ensure properly reported within the time and attendance system.
  • Reconcile payroll prior to transmission and validate confirmed reports.
  • Understand proper taxation, including that of employer paid benefits.
  • Prepare and process manual checks as needed.
  • Perform daily payroll department functions including but not limited to process and/or update garnishments, child support orders, employment verifications, vacation and sick time, and 401(k) deductions.
  • Responsible for timely and accurate processing of employee payroll documents to include direct deposit updates and state and federal tax updates.
  • Provide customer service to internal and external customers regarding payroll, timekeeping, vacation/sick time and other questions.
  • Assist with training of the UKG system including New Hires and new Managers as well as ongoing manager/supervisor training for processes and UKG tasks.
  • Work closely with and provide support to Human Resources including but not limited to verify data entry input by HR, process termination checks in compliance with state laws, assist with set up and maintenance of UKG.
  • Stay up to date on UKG payroll system to ensure effective support and alignment with Accounting and Human Resources.
  • Regularly ensure accuracy of payroll information through review, internal audit, and analysis of employee time sheets, payroll records and reports.
  • Responsible for 401(k) transaction, HSA and FSA reconciliations and file uploads for each payroll.
  • Responsible for review of all quarterly payroll tax filings and annual W-2 filings.
  • Manage and support the 401k compliance and annual audit as it relates to payroll specific tasks.
  • Manage and support the annual worker’s compensation audit as it relates to payroll specific tasks.
  • Facilitates audits by providing records and documentation to auditors.
  • Identifies and recommends updates to payroll processing software, systems, and procedures.
  • Responsible for month end payroll related activities including preparation and distribution of reports, payroll cash reconciliation, PTO reconciliation and journal entry preparation.
  • Partner with Human Resource and Accounting teams to provide yearend support related to the annual financial audit, ACA reconciliation, and UKG year end processes.
  • Maintain the confidentiality of all employee information and payroll records.
  • Develop ad hoc reporting as needed.

Basic Requirements:

  • 6-10 years minimum working knowledge of payroll experience required
  • Experience with UKG payroll/HR software preferred.
  • Certified Payroll Professional (CPP) designation preferred.
  • Excellent written & oral communication and strong relationship building skills required.
  • Detail oriented with solid organizational skills and the ability to prioritize and multi-task in a fast-paced work environment.
  • Strong computer skills including use of MS Office (Word, Excel & Outlook), with a willingness to learn new software programs. Proven experience in payroll management, preferably in a multi-state environment.
  • Strong knowledge of federal, state, and local payroll laws and regulations.
  • Excellent leadership and team management skills.
  • Proficiency in payroll software and systems.
  • Strong analytical and problem-solving abilities.
  • Exceptional attention to detail and accuracy.
  • Excellent communication and interpersonal skills.

Physical Demands and Work Environment:

  • Work is generally completed in an office environment. Frequent sitting, computer work and phone use are required, with occasional walking, standing, bending and lifting up to 20 pounds.

Salary:

$85,000 - $100,000/salary, depending on experience, plus incentives.
