Open Systems Technologies is looking for an Administrative Assistant to work in support of the Intelligence community.
Responsibilities:
The Sponsor is seeking a highly organized and proactive administrative professional to serve as one of two key focal points for coordinating daily functions in a department-level front office. The successful candidate will provide administrative support to a team of senior leaders, including a SIS Chief and six Deputies, and assist in the general operations of the front office area. The department is responsible for supporting over 1200 personnel in CONUS and OCONUS locations, and effective communication is crucial in ensuring that all parties have the necessary information to execute their mission.
The ideal candidate will be responsible for managing and coordinating front office activities, including scheduling appointments and responding to !askers.
They will answer incoming telephone calls and provide timely responses to requests, utilizing common sponsor systems, including the Sponsor Internal Communication System and MS Office Suite, to create, edit, and coordinate documents and facilitate front office activities.
The candidate will also schedule and coordinate office meetings, ensuring that all necessary stakeholders are included, and resources are identified.
In addition to these core responsibilities, candidate will assist with various administrative department functions, such as check-in and check-out processes, travel coordination, and maintaining office rosters, phone trees, and group email access/user accounts.
They will also be responsible for completing visitor certifications and other administrative tasks related to visitors.
The candidate will be expected to provide backup support for other administrative functions as needed and work effectively in a team environment to provide excellent customer service.
The position is in a traditional office setting with no flexible workspace options available.
The candidate will be required to work in a dynamic environment with multiple priorities and deadlines.
On-the-job training will be provided for specific tasks and systems, and the candidate will be expected to learn and adapt quickly to new processes and procedures.
Required Qualifications:
CLEARANCE: TS/SCI w FSP
HS Diploma and 5 years of relevant experience or equivalent combination of education and experience
The AA should possess excellent verbal and written communication skills for responding to incoming email and phone calls.
Proficient Word, Excel, Outlook, PowerPoint
Able to perform duties with minimal supervision and some team interaction.
