GENERAL SUMMARY/ OVERVIEW STATEMENT: Summarize the nature and level of work performed.
Under the direction of the Supervisor, the Central Scheduling Coordinator is responsible for the coordination of all scheduled services related to medical and surgical admissions, including BWH OR procedures, BWFH OR procedures, and FXB OR procedures, and BWH and BWFH medical admissions in accordance with standards established by the Department, Hospital, Medical Staff and outside regulatory and accreditation agencies.
PRINCIPAL DUTIES AND RESPONSIBILITIES: Indicate key areas of responsibility, major job duties, special projects and key objectives for this position. These items should be evaluated throughout the year and included in the written annual evaluation.
1. Interacts directly with EPIC scheduling systems, entering data accurately to coordinate and maximize utilization of hospital resources related to operating/procedure room schedule and preadmission test center appointments.
2. Interacts directly with physicians/physicians' office staff and patients via EPIC system to collect complete and appropriate patient data and clinical information necessary to schedule medical/surgical services.
3. Receives and directs all incoming calls in a polite manner, whether from patients or hospital staff.
4. Performs audit on cases scheduled via EPIC to ensure accuracy, completeness and appropriateness of setting.
5. Conducts a detailed registration interview with patient in a timely, efficient and courteous manner. Actively uses voice tone to convey professionalism, empathy and to build customer confidence and trust.
6. Updates, obtains and/or verifies all pertinent data necessary to complete required registration, admission, demographic and financial information ensuring both timely access and accurate billing.
7. Determines eligibility for admission/treatment in compliance with hospital policy, utilization review criteria, and state and federal regulations and/or guidelines.
8. Uses independent judgment to make knowledgeable decisions in organizing resources and resolving conflicts concerning operating/procedure room schedule.
9. Consults with all levels of hospital professional, administrative and support staff, as well as patients, their families and representatives of other organizations where considerable tact and persuasiveness must be employed in order to maintain confidentiality and overall harmony.
10. Determines when problematic reservations must be referred to the Manager, i.e. legal issues, complex financial issues and patients with unusual special needs.
11. Provides patients with accurate information regarding the preparation for procedures and ensures that the prep instructions are sent to the patient in a timely manner.
12. Acts as liaison between Patient Access Services, Operating Room Managements, Nursing, Department of Anesthesia, across multiple campuses
13. Obtains adequate information in order to identify and resolve potential financial risk to the institution.
14. Maintains patient confidentiality and privacy by accessing patient information only to the extent necessary to fulfill assigned duties. Ensures that all patient information is kept private, confidential and secure. Secures and properly stores all list, reports, files and documents.
15. Adheres to Customer Service Standards by demonstrating professionalism, alertness, helpfulness and receptiveness to all patients, visitors and other staff members.
16. Actively participates in Data Integrity Departmental Initiative to improve the accuracy and completeness of data collected.
17. Performs special projects as assigned.
SKILLS/ ABILITIES/ COMPETENCIES REQUIRED: (MUST be realistic, neither overstated nor understated, and related to the essential functions of the job.)
1. Interpersonal skills necessary to communicate effectively with patients, physicians and their support staff,
nursing staff, administrators, and other hospital personnel.
2. Technical knowledge of specific legal requirements and an understanding of complex third party payors and
medical assistance policies and procedures.
3. Knowledge of hospital information/scheduling system with particular emphasis on EPIC.
4. Requires good judgment, tact, sensitivity, and the ability to function in a stressful environment.
5. The ability to maintain confidentiality regarding the patients, their medical histories, demographic information,
etc.
6. Ability to sustain effective, clear and concise communication, both written and oral.
7. Medical Terminology.
WORKING CONDITIONS: Describe the conditions in which the work is performed.
Hectic office environment; noisy, fluctuating temperature, high volume of calls.
FISCAL RESPONSIBILITY: Indicate financial "scope" information, i.e.: size of budget, volume, revenue, etc.
Promotes institutional financial stability by throughput and data integrity.
Qualifications
Scholastic preparation equal to one or two years of college. In lieu of which, a person with proven related health care experience may qualify. Medical terminology experience is highly desirable.
