Job Description:

Mid-Atlantic Permanente Medical Group (MAPMG) invites applications for a Access and Service Scheduling Coordinator to join our Office of the President department. This position is a full-time opportunity based out of our regional office located in Rockville, MD with a hybrid work model.

Reporting to the Chief of Staff, the Access and Service Scheduling Coordinator will be responsible for creating, building, and maintaining accurate department calendars and schedule templates utilizing analytical reports to ensure an adequate number of appointments are activated to meet the demand. You will collaborate with department leaders to ensure adherence to scheduling policies and procedures by addressing access issues promptly through frontline problem-solving, conducting research and investigations, interpreting and resolving issues, and escalating them when necessary. This position directly supports the scheduling for Emergency Medicine and Advanced Urgent Care departments.



You can expect to:

  • Develop schedules that adhere to established criteria and quality standards for Kaiser Permanente member access, which includes allocating resources for each week, arranging appointments throughout the day, and determining the percentage of appointment types in each clinician’s schedule.
  • Analyze and utilize data models through Microsoft Excel to build these schedules that meet appointment demands.
  • Conduct data analysis to track and report physician changes on scheduled hours in QGenda
  • Monitor requests for time off, schedule changes, and extra clinics shifts from MAPMG providers to ensure accuracy of work shifts.
  • Support the patient satisfaction survey program by maintaining distributions lists, library of active and inactive surveys, and creating graphics to communicate survey results
  • Train Physicians and administrative staff in effective utilizing QGenda scheduling software and troubleshooting issues


What is required:

  • Associates degree or equivalent combination of education and experience is required
    • Bachelor’s degree or equivalent combination of education and experience is preferred
  • Minimum of two (2) years’ experience with scheduling applications and project management is required; Experience with Qgenda is preferred
  • Proficiency with Microsoft Office Suite is required
  • Previous experience in a healthcare setting is preferred
  • Ability to communicate effectively within all levels of the organization is required
  • Proven track record of delivering exceptional customer service
  • The ability to commute to Rockville, MD, on an as-needed basis.
  • Candidates must either currently reside in or be willing to relocate to the Washington D.C. metropolitan area
  • Must provide proof of Covid booster vaccine (released in September 2023) and influenza vaccine as a condition of employment
