Job Description:

We are currently hiring a talented Clinical Operations Manager to join the Sagility team. In this role you will be responsible to monitor and manage the efficiency and effectiveness of the Aging in Place program to meet or exceed AiP program goals, client contract service level agreements (KRAs) for AiP clients. The Manager of Clinical Operations is responsible to oversee and leading enrollment, assessment, engagement and implementation of the clinical program. This position reports to the Director of Clinical Operations.  

Key Role Responsibilities:


  • Serves as the point of contact and operational leader for intradepartmental interactions, account management and AiP clients.

  • Responsible for training, coaching, mentoring, and evaluating AiP staff to ensure program objectives and organizational Key Reporting Areas (KRAs) are met.

  • Responsible to ensure work plan is in place for AiP staff; work is assigned, and staff stays on track to achieve productivity standards and meet client SLAs.

  • Ensures AiP staff meet key quality metrics:

  • Quality observations and audits are completed utilizing Quality Management guidelines, reporting findings and recommendations to the Director of Clinical Operations & Quality Creates and implements Quality Improvement Plans Actively coaches and mentors staff to drive proficiency and achieve quality and engagement metrics.

  • Provides proactive and consistent feedback to the Director of Clinical Operations regarding performance against productivity and quality standards, and compliance with meeting SLAs:

  • Makes recommendations to drive performance. Implements and monitors performance.

  • Investigates, evaluates, and follows up on Risk Incidents and Quality concerns.

  • Creates and implements corrective action plans to adequately address variances to corporate, clinical, and legal guidelines/policies.

  • Responsible for all Policy & Guidelines.

  • Acts as a resource for staff to understand and carry out all applicable Policy & Guidelines; educates and coaches the AiP team to meet client SLAs, organizational KRAs and regulatory requirements. Ensures compliance with clinical guidelines.

  • Demonstrates expertise in program/product software application and reporting to support daily operations.

  • Responsible for AiP staff:

  • Recommends new hires & promotions. Performs annual performance reviews and recommends annual salary increases. Addresses Performance and attendance issues Ensures adequate staffing. Training, in collaboration with Training and Practice

  • Ensures team huddles are held utilizing established guidelines and meeting tools to engage staff, drive operational excellence:

  • Productivity against standards Quality against standards Staff education (i.e.: Policy & Guidelines, program changes) Teambuilding & staff engagement Company news

  • Holds regular one-to-one meetings with team members, utilizing established guidelines and one-to-one meeting tool to maintain effective working relationships, drive performance, engagement and develop staff.

  • Performs other duties as assigned.

Education and Experience:


  • Bachelor’s degree in Occupational Therapy (OT) 

  • A minimum of 6 years’ experience in a clinical environment 

  • A minimum of 3 years’ experience as an OT working with a frail population  

  • Experience working with Medicare and Medicaid population. 

  • A minimum of 3 years’ management experience preferred. 

  • Experience with data analysis and working within a CRM tool.  

Qualifications:


  • Active OT license 

  • Strong management, interviewing, hiring, coaching, and counseling skills 

  • Ability to successfully manage multiple priorities.    

  • Demonstrated experience in effective client management. 

  • Excellent communication skills; written, verbal. 

  • Strong presentation skills 

  • Demonstrated sound problem-solving, analytical, and decision-making skills that contribute to achieving clinical program goals and operational excellence. 

  • Strong working knowledge of quality improvement and business excellence concepts 

  • Demonstrated effective leadership skills in effectively leading a team and participating on a team. 

  • Strong leadership and interpersonal skills; ability to successfully inspire and influence staff, colleagues, leadership, and clients.  

  • Strong member advocate: willing to go above and beyond normal responsibilities to provide the best service possible. 

  • Demonstrates culturally sensitivity and competency.  

  • Ability to work remotely. 

  • Ability to determine when to escalate issues appropriately and in a timely manner. 

  • Proficient computer and analytic skills 

Salary Range: $80,000.00 to $105,000.00 Annually
