Job Summary/Description:
We seek an adept temporary Administrative Assistant to provide comprehensive support to one of our global executives. This full-time position entails a temp contract, subject to business needs. We are looking for a proactive problem-solver with meticulous attention to detail and strong organizational skills, particularly in managing a complex calendar and domestic/international travel arrangements. The ideal candidate will have exceptional communication skills and the ability to build relationships within the broader company network.
Responsibilities: • Provide comprehensive administrative support, including heaving scheduling, daily departmental operations, events, and projects. • Manage calendar, handle travel arrangements, schedule meetings/conference calls, perform filing and data-entry tasks, organize contacts, send packages, and process expense reports. • Assist and work with others within the department/company on various projects, distributions and preparations for events or meetings, both internal and external. • Coordinate complex calendars, meetings, appointments, and domestic/international travel logistics (flights, hotel accommodations, and car rental reservations). • Plan and organize functions, meetings, and special events, including agenda preparation, material collation/distribution, meeting minute documentation, and follow-up on action items. • Manage on-site responsibilities for the local events for the global team • Draft, proofread, and edit correspondence and e-mail messages. • Create presentations using PowerPoint, Excel, or other programs. • Handle confidential duties involving sensitive information. • Screen incoming calls/correspondence and responding independently whenever possible. • Perform photocopying, printing, and other administrative tasks as needed. • Collaborate internally to exchange information on initiatives and/or projects • Adaptable and flexible in a fast-paced environment
Qualifications and Experience: • Experience with Concur, ADP and Egencia are a plus. • Five to seven years of experience in preparing presentations, using PowerPoint slides, Excel tables/graphs. • Strong interpersonal, verbal, and written communications skills • Excellent grammar, spelling, and punctuation abilities. • Demonstrated problem-solving skills and consensus-building abilities.
Required: • Five to seven years of experience in preparing presentations, using PowerPoint slides, Excel tables/graphs. • Advanced proficiency in MS Office (Outlook, Word, Excel, Access, PowerPoint) • High school diploma or general education degree (GED); and five or more years relevant experience supporting senior-level global executives.
