Job Description:

Our receptionist serves as the face and first point of contact for visitors, clients, and employees of Kingscott. This role is responsible for providing excellent customer service, managing incoming calls and inquiries, and performing administrative tasks to ensure the smooth operation of the front desk, in-coming and out-going mail, and other office duties as assigned. The ideal candidate will possess the knowledge, skills, and abilities to be customer focused, detailed orientated, and an enthusiastic individual eager to assist both internal and external clients with quick, efficient, and professional support.

Essential Responsibilities:
  • Greet and welcome visitors, clients, and employees with a friendly and professional demeanor.
  • Answer and direct incoming calls to the appropriate person or department.
  • Provide accurate information to callers or route calls to the appropriate individuals.
  • Maintain a clean and organized reception and mail area, ensuring a professional and welcoming environment.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Schedule and coordinate appointments, meetings, and conference room reservations.
  • Assist with administrative tasks such as data entry, filing, photocopying, and scanning documents.
  • Handle inquiries and provide general information about the company or organization to visitors or callers.
  • Collaborate with other departments to ensure smooth communication and efficient operations.
  • Follow security procedures and monitor visitor access to maintain a safe and secure environment.

Non-Essential Responsibilities:
  • Assist with special projects or tasks as assigned by supervisors or management.

Supervision Received:

Specific Direction: Follows established work procedures. Receives periodic checks for performance. Refers unique questions/conditions to immediate supervisor.

Supervisory Responsibilities:

No supervision: No supervisory responsibilities.

Education & Experience:
  • High school diploma or equivalent.
  • 3+ years of proven experience as a receptionist or in a customer service role is preferred.
  • Prior experience in a professional office setting supporting administrative and office needs; required.
  • Excellent listening, verbal, and written communication skills a must.
  • Proficiency in using computer software such as Microsoft Office (Word, Excel, Outlook).

Other Knowledge, Skills & Abilities:
  • Strong interpersonal skills and the ability to interact with people at all levels.
  • Proficient in using office equipment such as a multi-line phone system, fax machine, and copier.
  • Basic knowledge of administrative and clerical procedures.
  • Strong organizational and time management skills.
  • Ability to handle multiple tasks and prioritize effectively.
  • Professional appearance and a customer-oriented approach.
  • Familiarity with operating a switchboard, telephone system or prior experience working in Teams phones environment is a plus.
  • Ability to maintain confidentiality and handle sensitive information.
  • Knowledge of architectural, interior design, civil engineering and/or consulting business is preferred!
