The Role

Reporting directly to the Director of Operations and ESG (Environment, Social, Governance), the Planning and Buying Coordinator will support all product related activity in the US, including allocation of stock for sales channel needs through to associated inventory compliance, return oversight and facilitation of order fulfilment at the Seattle HQ.

This role has a strong focus on supporting inventory integrity, with a particular focus on availability and on-time shipments for our wholesale partners. The Planning and Buying Coordinator must be across incoming shipments, facilitate size curve redirections from purchase orders placed and works proactively with key stakeholders across the business to support stock movements once in-country as required.

Responsibilities

Functional Area 1: Regional planning and buying
  • Supports the creation of seasonal buying plans for the US business through identification of high and low performing products.
  • Supports timely purchase order placement of shoes, socks and laces for the US business including population of size curves and making updates to the regional sizing calculator.
  • Supports the Wholesale Coordinator in consolidating product information for key accounts.
  • Supports the Operations Manager in the creation of new products by PO in DEAR by season and populating relevant product fields as needed, per the product master list. This also includes barcode management at time of order placement.
  • Provides support for growth tactics and subsequent rollout of key sales initiatives, including but not limited to the US: seasonal launches, concept store stock plans, and regional activations.

Functional Area 2: Supporting US inventory
  • Conducts order fulfillment from the Seattle HQ for FRANKIE4 orders, and receipt of returns from US customers and associated processing.
  • Facilitates fulfilment and associated product compliance needs for wholesale dropship partners, supporting the Wholesale Coordinator including picking and packing, invoice generation, and facilitating returns and credit memos as required.
  • Responsible for regular stock transfers between inventory locations in associated systems as required, and makes stock adjustments due to inventory variance across locations (e.g. Seattle HQ, warehouses, retail locations, as well as virtual locations).
  • Responsible for conducting monthly stocktakes of the Seattle HQ location and uploading relevant reporting into inventory systems for end of month financial reconciliation.
  • Supports the Customer Care team in identifying 'no stocks' for orders unable to be fulfilled and adjusting stock as required for accurate inventory records.

Functional Area 3: Stakeholder relationships
  • Provides aggregated end of month reporting and reconciliation to key stakeholders.
  • Supports the Buying and Planning Manager in providing stock updates per the monthly Shipping Summary as required.
  • Positively contributes to team meetings relation to planning and inventory, such as presenting incoming shipments and estimated availability dates in routine Inventory meetings.
  • Is a positive ambassador for the FRANKIE4 brand and seen as a "product champion" internally and to external brand partners, such as warehouses, key wholesale accounts and additional vendors.
  • Supports the broader US team culture as the business continues to grow.

About you

  • A Relevant degree or professional qualification.
  • Intermediate proficiency in Microsoft Excel.
  • Shows initiative and embraces an opportunity mindset.
  • Willingness to learn and use PowerBI, Monday.com, EDI portals, and Shopify.
