We are an exciting, growing, fun, and fast-paced company. We are seeking a friendly, detail-oriented Administrative Assistant who will oversee all administrative duties in our office and ensure the office is running smoothly. The position is on site 4 days a week in Columbia, MD.
Responsibilities:
Greet visitors and determine whether they should be given access to specific individuals.
Answer phone calls and direct calls to appropriate parties or take messages.
Open, sort and distribute incoming correspondence, including faxes and email.
Maintain office and kitchen supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
Identify opportunities for process and office management improvements, and design and implement new systems.
Scanning/logging checks as assigned by Finance dept.
Knowledge of Excel and Microsoft Office
Coding invoices and sending to AP Team
Understanding layout of office/coordinating office hoteling
Working with building management on day-to-day activities/issues
Tidy office / conference rooms before & after meetings / events
Assist the events team with planning and execution including set up and clean up
Coordinate lunches for groups and executives
Other responsibilities as assigned
